KBW Financial, a well‑established organization based in Middlesex County, is actively looking to add an Accounting Assistant to their growing team. The Accounting Assistant will report to the Controller and assist with AP, AR, Billing, and other day‑to‑day accounting activities as assigned.
Responsibilities
Match purchase orders to invoices, resolve discrepancies, code entries to the general ledger, and input data into QuickBooks.
Assist with check processing, file supporting documentation, and manage outgoing payments as needed.
Process credit references for customer term approvals and post deposits to accounts.
Conduct collections calls and process refunds as required.
Send payment links to facilitate online payments for machine orders.
Generate invoices for sales and webstore orders, including net terms and credit card transactions.
Verify accuracy of purchase orders, pricing, quantities, freight charges, shipping methods, and billing/shipping addresses.
Track customer returns (RMA) and determine restocking fees; maintain and reconcile RMA logs.
Manage offsite inventory, including test units, trade show, showroom, prototype, and repair machines.
Coordinate machine returns and follow up with sales team on outstanding units.
Oversee customer leasing program, including credit checks via Experian and review of bank/trade references.
Prepare and distribute finance packets and agreements; send payment reminders and links.
Order office supplies and coordinate office services, including cleaning.
