Job Overview The Clerk II provides clerical support to the Nurse Manager and Nursing Services Program Supervisor, performing moderate clerical/delta-level work including data entry, filing, diverting medical equipment, and administrative tasks. The position supports the program’s disaster response, COOP activation, and routine daily operations.
Responsibilities
Collect, compile, and tabulate data; perform calculations and provide reports to Nurse Manager and Program Supervisor.
Maintain medical equipment databases, logs, and files; track and troubleshoot equipment across campus.
Assist with scheduling, minutes, and documentation for nursing administration.
Support disaster response and COOP activation activities, including alternate shift pattern assignments when required.
Engage in data coordination for units and act as backup for Nursing Administration.
Ensure confidentiality of patient health information.
Essential Job Functions (EJF)
Work regular shift schedule, including rotating schedules, extended shifts, and overtime as permitted.
Assist Nurse Manager and Program Supervisor in research and report preparation.
Complete clerical duties including reassignments to other units.
Treat all patients, staff, and visitors with respect during all interactions.
Communicate effectively with co-workers and department heads.
Act as data coordinator and backup for other units.
Maintain confidentiality of patient health information.
Knowledge, Skills & Abilities (KSAs)
Independent work completion with strong organizational skills.
Proficiency in Microsoft Word, Excel, and PowerPoint.
Ability to meet deadlines and follow complex instructions.
Effective verbal and written communication.
Maintain working relationships and maintain effective files/ logs.
Research records, identify and retrieve information.
Knowledge of standard purchasing protocols.
Registrations, Licensure Requirements or Certifications Must possess a valid Texas Driver’s License (or obtain within 90 days). Out-of-state license holders must provide a certified driving record.
Initial Screening Criteria Minimum two (2) years of clerical experience, preferably in a healthcare setting.
Additional Information
Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks including CANRS, Nurse Aid, Medication Aide, Employee Misconduct, and LEIE.
Minimum age: 18 years for state‑operated facilities; 21 years for Waco Center for Youth facilities.
Ongoing immunization required per HHSC policy and CDC guidelines.
Flexibility in work hours, possible overtime and extended hours.
