Office Coordinator - Position Summary We are seeking a reliable and detail-oriented Office Coordinator to support daily office operations for a growing HVAC company. This role focuses on office coordination, data entry, vendor and customer file management, scheduling, and administrative support to ensure smooth and efficient operations.
Key Responsibilities
Coordinate daily office operations and provide general administrative support
Perform accurate data entry for customer information, job details, invoices, and payments
Maintain and organize vendor and customer files
Follow up with vendors regarding orders, deliveries, and documentation
Follow up with customers regarding scheduling, payments, and service updates
Schedule service appointments and coordinate technician schedules
Manage daily activity in ServiceTitan, including scheduling, job updates, and customer records
Maintain and update office spreadsheets for tracking jobs, invoices, vendor orders, and reports
Process customer payments securely (credit cards, checks, etc.)
Communicate professionally via phone, email, and in person
Required Qualifications
Minimum 2 years of ServiceTitan experience (required)
Strong office coordination and data entry skills with excellent attention to detail
Proficient in Microsoft Excel and Word, including spreadsheet maintenance
Experience managing vendor and customer records
Strong organizational, follow-up, and communication skills
Reliable, responsible, and trustworthyReliable transportation required
Background check required
