Administrative Assistant

Responsibilities
Serve as the primary point of contact for the parish by answering phones, welcoming visitors, and responding to general inquiries.
Screen and appropriately direct calls and visitors for the Pastor and Parish Staff.
Lead efforts to welcome and assist new parishioners.
Coordinate, create, and publish the weekly parish bulletin, collaborating with staff and ministry leaders to gather content, ensure accuracy, and meet publication deadlines.
Scheduling & Coordination Partner with ministry leaders to schedule parish events and activities.
Manage the Mass schedule, including Mass intentions and presider assignments.
Collaborate with the Pastor and Pastoral Associate to coordinate funerals.
Records & Reporting Maintain and update parish records, including sacramental registers, membership rosters, and other vital records.
Maintain financial stewardship records, including weekly contributions and qualified charitable contributions.
Prepare accurate quarterly and annual parishioner contribution statements.
Coordinate required reporting with the Archdiocese.
Office Management Maintain a clean, organized, and efficient parish office environment.
Handle incoming and outgoing mail and packages, including post office visits as needed.
Manage office and kitchen supply inventories.
Assist with general office duties such as copying, filing, proofreading, and light office upkeep.
Serve as the point of contact for office equipment maintenance and shredding services.
Manage building access through keys, key fobs, and access management software.
Serve as the Safe Environment Coordinator for the parish and school.
Ensure parish and school compliance with all Archdiocesan Safe Environment requirements.
Work collaboratively with parish and school staff to ensure safe, secure, and timely bank deposits of all cash received.
Assist with recording cash received from parish and school events and activities.
Support the RaiseRight fundraising program.
Additional Responsibilities Provide administrative and secretarial support to the Pastor, parish staff, and school staff.
Attend staff meetings, trainings, and retreats.
Perform other duties as assigned by the Business Manager or Pastor.
Serve as a liaison with the Cemetery Committee, funeral homes, and parishioners regarding cemetery plot sales, usage, and recordkeeping.
Qualifications High school diploma required; 3–5 years of administrative or office experience preferred.
Strong customer service skills with a warm, welcoming, and helpful disposition.
Excellent verbal and written communication skills.
Highly organized with strong time management, calendaring, and prioritization abilities.
Comfortable using and learning office technology, including word processing, spreadsheets, and database systems.
Demonstrated ability to handle sensitive and confidential information with discretion.
A genuine enthusiasm for the mission of the Catholic Church and a desire to serve the parish community.
