Job Description Summary As a Concierge Associate, you will serve as a liaison between patients, families, and hospital staff, ensuring seamless communication and support throughout the patient journey.

Responsibilities

Answer telephone promptly, preferably by the third ring, and classify calls appropriately.

Demonstrate proper telephone etiquette when receiving, transferring, and placing calls on hold, minimizing hold times.

Take and repeat key information for accuracy, and enter patient demographics and insurance data into the computer.

Verify insurance information, collect referrals and authorizations, and process other required documents.

Ensure patients complete applicable forms accurately and completely.

Notify the secretary or office coordinator when supply levels approach reorder points.

Copy patient records for insurance or physician requests, label and upload documents in EPIC, and print for physician review when needed.

Handle calls carefully and distribute staff messages to all office staff for communication purposes.

Schedule appointments for the concierge office and any outside specialty appointments promptly requested by physicians, documenting notes correctly per practice policy.

Prepare daily receipts and journals, and deposit funds to cashiers.

Proofread emails, encrypt confidential information, and send to patients securely.

Assist customers/patients with communication needs, provide site information or tours, and respond to special requirements.

Assist in compliance with hospital policies, provide necessary referrals, and ensure timely resolution of issues.

Maintain confidentiality of customer and patient information.

Qualifications

High school diploma or equivalent.

3–5 years of experience in healthcare or customer service preferred.

Strong communication and organizational skills.

Proficiency with EPIC or similar electronic health record systems.

Ability to multitask and keep hold times minimal.
