The Office Technician provides support to the Branch Chief, Contract Managers, consultants, and Associate Governmental Program Analysts of the Consultant Services Unit (CSU). Duties will include, but are not limited to:

Maintain record of new contracts, amendments, task orders, and consultant monthly invoices by filing electronic documents in the CSU shared drive and updating the unit's databases and record logs.

Data entry, communicating with clients, working with word processing, spreadsheets, and databases.

Use of excel tools such as pivot tables and formulas to prepare various reports.

Use FileMaker Pro, CGI Advantage and various record logs for data entry, updating records and searching information.

Use infoAdvantage and Datalink queries to extract data and prepare reports.

Give support to other offices upon request, such as providing Program Managers status of pending Architecture and Engineering (A&E) work under specific projects and phases, and preparing documents for Public Records requests.

Prepare minutes from staff meetings.

Maintain and request office supplies.

Assist with interviews by scheduling appointments, setting up interview room and escorting visitors.

Provide support in hosting department events such as Outreaches and Calmentor events. Set‑up and take down of various computer equipment, such as laptops and projectors.

Process incoming and outgoing mail.

Working Conditions Position located at 464 W 4th Street, San Bernardino CA 92401, San Bernardino County. Multiple positions may be filled from this recruitment.

While at their base of operation, the incumbent will work indoors in a climate‑controlled location under artificial lighting. Activities include, but are not limited to, sitting for prolonged periods of time while using the telephone, keyboard, and video display terminal. Keyboard use will be approximately 75% of the time. May require employee to work overtime and vacations may be restricted during expected and/or unexpected peak workload periods.

This position may be eligible for telework. The amount of telework is at the discretion of the Department and based on Caltrans’s evolving telework policy. Caltrans supports telework, recognizing that in‑person attendance may be required based on operational needs. Employees are expected to be able to report to their worksites with minimum notification if an urgent need arises. The selected candidate will be required to commute to the headquartered location as needed to meet operational needs. Business travel may be required, and reimbursement considers an employee’s designated headquartered location, primary residence, and may be subject to CalHR regulations or applicable bargaining unit contract provisions. All commute expenses to the headquartered location will be the responsibility of the selected candidate.

Desirable Qualifications

Knowledge of Excel pivot tables, formulas such as V‑Lookup, and preparing budget reports.

Good note‑taking skills and preparing meeting minutes.

The ideal candidate is reliable, well organized, prioritizes work and makes efficient use of time.

Develop good rapport and respectful relationships with team members and clients.

Knowledge of accounting, math skills and clerical work experience are a plus.

Knowledge of CGI Advantage and Datalink is desirable but not required.
