Administrative Assistant / Healthcare Receptionist – Full Time
Monday–Friday, 8AM–4:30PM

Administrative Assistant / Healthcare Receptionist
to be the welcoming face of our Health Center. This role is ideal for someone who is
computer proficient , thrives in a fast-paced environment, and enjoys providing high-quality administrative support.
You will report directly to the Executive Assistant and work closely with multiple departments to help keep daily operations running smoothly.
What You’ll Do
Greet, assist, and screen visitors while monitoring front‑entrance activity to ensure facility safety and security.
Answer and direct phone calls with professionalism and accuracy.
Manage schedules for part‑time receptionists and ensure daily front desk coverage.
Maintain petty cash for Administration.
Prepare a variety of letters, packets, and documents—including condolence letters, staff anniversary letters, orientation packets, and daily activity packets.
Sort and distribute incoming mail and faxes for staff and residents.
Schedule quarterly Zoom care conferences for skilled nursing residents.
Notify the Ombudsman of hospitalizations.
Create and maintain the morning meeting Excel spreadsheet and update the daily census.
Maintain and upload the resident sign‑in/out sheets.
Enter salon charges into PointClickCare for billing.
Order supplies, place Amazon orders, and monitor lobby safety protocols.
Assist with general administrative tasks and support various departments as needed.
Follow emergency response protocols when necessary.
Perform other duties as assigned by the supervisor.
What We’re Looking For
High School Diploma or equivalent.
Minimum 1 year of receptionist experience , preferably in a healthcare environment.
Strong computer skills are required
— including experience with:
Microsoft Excel (must‑have)
Microsoft Publisher (preferred)
Microsoft Word & Outlook
Excellent verbal and written communication skills.
Professional phone etiquette and a friendly, welcoming attitude.
Ability to multitask, stay organized, and work independently.
Comfortable interacting with the public, residents, and staff.
Professional Expectations
Adheres to dress code and maintains a clean, polished appearance.
Attends all mandatory annual training (Corporate Compliance, HIPAA, OSHA, etc.).
Maintains confidentiality and follows all regulatory standards.
Demonstrates punctuality, professionalism, and a cooperative working style.
