Overview The Senior Administrative Assistant supports the leadership team of the Field Operations Division, managing budgetary tasks, human resources activities, and special projects to ensure smooth department operations. This role requires a proactive, detail‑oriented team player capable of adapting quickly to changing conditions.
Minimum Qualifications
Bachelor’s degree with major coursework in public administration, business administration, human resources, or related field.
Three (3) years of increasing responsibility in administrative and fiscal budget management.
One (1) year in a supervisory or lead capacity.
Preferred Qualifications
Bilingual skills.
Five (5) years of advanced administrative and fiscal experience.
Two (2) years’ experience with Questica or similar budgeting software.
Strong organization, time management, attention to detail, follow‑through, and interpersonal skills.
Clear oral and written communication.
Strong computer skills; proficient in Microsoft Word and Excel.
Experience in research, problem solving, event planning, and process improvement.
Job Responsibilities
Prioritize and assign daily team tasks, ensuring operational goals are met.
HR & Payroll: Lead recruitment, onboarding, and payroll training; oversee bi‑weekly payroll corrections.
Office & Records: Maintain organized workspaces and confidential records; ensure compliance with regulatory standards.
Budget & Purchasing: Assist division budgeting and financial plan presentation; recommend adjustments and handle P‑card reconciliations.
Programs & Training: Coordinate programs from planning to execution; facilitate training and team‑building sessions; arrange conference travel.
Job Fairs: Plan and execute department and organization‑wide events, managing space setup and materials.
Support & Systems: Coach managers on performance issues; streamline workflows with Questica and advanced Excel; deliver exceptional customer service.
Other Duties as Assigned: Support high‑level administrative tasks and special projects as needed.
Working Conditions and Physical Demands Typical duties involve touching, talking, hearing, seeing, grasping, standing, stooping, kneeling, crouching, reaching, walking, repetitive motions, climbing, and balancing. Sedentary work may require lifting up to 10 pounds occasionally or frequently.
