Position Overview The
Administrative Services Receptionist
serves as the first point of contact for visitors and callers, representing the organization with professionalism and warmth. This full‑time, in‑person role supports both general office operations and the Finance department, ensuring smooth day‑to‑day administrative functions. The Administrative Services Receptionist is detail‑oriented, dependable, and capable of managing multiple priorities in a dynamic environment.
Key Responsibilities Front Desk Operations
Greet and assist visitors in a courteous and professional manner
Answer and direct incoming phone calls
Manage incoming and outgoing mail and packages
Create and print labels for internal and external use
Maintain office supplies inventory and reorder as needed
Oversee employee kitchen and refreshment areas, including stocking and maintaining snacks, beverages, coffee stations, and general cleanliness of shared spaces
Ensure the front desk area is tidy and welcoming at all times
Administrative Support
Provides high‑level administrative support to the Chief of Staff, ensuring seamless coordination of executive priorities, meetings, and strategic initiatives across the C‑Suite.
Acts as a strategic partner and administrative liaison between the Chief of Staff and the Administrative Team, fostering clear communication, alignment, and timely dissemination of information
Produce polished decks and executive‑ready documents (PowerPoint, Word, PDF) for leadership updates, town halls, and committee reviews; apply brand standards and ensure accuracy and completeness
Uphold confidentiality and professionalism in all executive communications; handle sensitive information, contracts, and policy drafts with discretion and version control
Ensure timely and accurate delivery of finalized materials
Education
Bachelor’s degree in business or a related field preferred.
Experience
Proven experience in a high‑level administrative or executive support role, preferably in healthcare or senior care.
Experience supporting executives in a fast‑paced, mission‑driven, or high‑growth organization.
