Senior Administrative Assistant to support the Office of the Co-Founder of bouti

Our client, a privately‑held investment firm in lower Midtown is looking for a Senior Administrative Assistant to help provide support to the Office of the Co‑Founder. This person will work alongside other administrative members on the team. This person must be extremely discreet, be well versed in inbox management and scheduling across various time zones. Confidentiality, ability to multitask and a strong work ethic are imperative to succeed in this role. This is a great opportunity for someone looking to find their forever home!
RESPONSIBILITIES
Provide proactive support on inbox and calendar management, including handling a high-volume, complex email inbox, ghostwriting select communications, and managing a dynamic schedule.
Coordinate and execute domestic and international travel, periodically across multiple time zones.
Own data entry, tracking, and coordination for various initiatives, including maintaining contacts in Outlook and Salesforce, logging prospect and client interactions, tracking team action items and ideas, and documenting introductions across the network.
Oversee logistics for mass outreach efforts such as marketing campaigns, holiday card and gift mailings, and other broad communications.
Build, refine, and maintain systems that enhance the efficiency and effectiveness of administrative processes.
Manage the team’s expense reporting process, including gathering receipts and submitting monthly reports for the firm’s Partner / Co‑Founder via Concur.
Partner with the MTA Team to create, improve, and implement new systems and operational processes.
Handle compliance‑related tasks and gift tracking on behalf of the firm’s Partner / Co‑Founder.
Demonstrate timely responsiveness outside of traditional business hours, as needed.
Independently manage, prioritize, and execute tasks with minimal oversight.
QUALIFICATIONS
3+ years of experience as an Administrative Assistant supporting multiple executives and/or senior team members
Superior communication skills, unquestioned integrity, and the experience, confidence and presence to work directly with Partners and portfolio/prospect companies
Strong time management skills; ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines in a high-pressure environment
Positive attitude, no task too big or too small
Desire and capability to work as a team player
Highly motivated, self‑driven, solution and detail-oriented
Able to work well in an ever-changing environment
Outlook proficiency is a must
Experience with Salesforce and/or Monday.com is a plus
HOURS 8:30/9am‑5:30/6pm w/ flexibility if needed after hours Monday‑Thursday in office, Friday's WFH
SALARY $100‑115K base + paid OT + Bonus + Excellent benefits/perks!
