Organizational Purpose

This work unit exists to provide leadership, strategic direction, administrative support, fiscal and agricultural project analysis, personal and communication services, and other professional support to the Commissioner of Agriculture and the nine divisions of the Colorado Department of Agriculture. Services include general agency management; oversight of administrative activities; personnel administration; public affairs; public relations; legislative liaison; developing and implementing agency policies and directives; and collaborating with the Agricultural Commission on agricultural issues.

Major Objectives of the Position

This position serves as the Executive Assistant to the Commissioner of Agriculture, directly assisting the Commissioner and supporting the Deputy Commissioners, the Colorado Agricultural Commission, and the Regional Assistant Commissioners. As the Executive Assistant, the position provides a high level of executive service and conveys a professional persona in representing the Colorado Department of Agriculture.

Primary Duties

Executive Support and Schedule Management for the Commissioner of Agriculture Provide Executive-level administrative support for the Commissioner of Agriculture, including managing the Commissioner's schedule and completing critical procedural tasks on behalf of the Commissioner.

Agricultural Commission Administration and Member Support

Serve as the primary point of contact for the Colorado Agricultural Commission (Commission), consisting of nine members. In this duty, the position will implement the administrative actions needed to support the Agricultural Commission meetings and manage Commission members.

Event Coordination, Employee Engagement, and Technical Meeting Facilitation

Responsible for the planning and execution of various internal and public meetings, including in-person and virtual meetings such as Agricultural Commission, agency town hall meetings, workshops, all-staff meetings, external roundtables, and internal team meetings.

Managing Communications and General Administrative Duties

Serves as the first point of contact for the Commissioner, fielding inquiries from internal staff, public stakeholders, and agency partners. As the Executive Assistant, they will need to ensure communication to and from the Commissioner is timely, accurate, and clear. In addition, this position is responsible for various administrative duties necessary to support the Commissioner, Deputy Commissioner, and Regional Assistance Commissioners.

Other Duties

Performs other duties as assigned on special projects or to address immediate challenges. The position may be requested to work on special projects or tasks as needed for the Department.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualification: Proven Experience, Knowledge, Skills + Five (5) years of professional experience supporting executive leadership that includes experience in the completion of administrative tasks, schedule management, event planning, and use of online meeting tools (goggle, zoom, etc.). Part-time experience will be prorated. OR Education and Experience + A combination of related education and/or relevant experience leading high-level executive administrative work that includes completion of administrative tasks, schedule management, event planning, and use of online meeting tools (goggle, zoom, etc.)

Required Competencies

Clear understanding and experience in executive administrative support. Excellent interpersonal and communication. Project management skills: ability to multitask, problem-solve, prioritize, create systems and processes and collaborate with and engage others. Ability to work in a fast-paced environment and juggle multiple priorities, and able to react and adjust quickly to changing conditions and deadlines. Detail oriented. Demonstrated commitment to diversity, equity, and inclusion. Excellent communication skills; able to communicate effectively and articulately in writing and orally with diverse communities in all corners of the state. Work well under pressure and able to maintain a good work/life balance. Strong relationship management skills and excellent representation of the department in community interactions. A proven track record for developing and maintaining trusted relationships with stakeholders. Excellent negotiation and consensus building skills. Proactive approaches to problem-solving and with strong decision-making capability. Highly resourceful team-player, with the ability to also be extremely effective independently.
