This role provides clerical and office support to ensure efficient daily operations. The Administrative Assistant will work under the direction of Team Leaders or a senior administrative professional and may serve as the first point of contact for visitors. The role also supports field inspectors with administrative coordination./ppKey Responsibilities/pulliAdministrative Clerical Support/liliManage and coordinate schedules for assigned personnel/liliPrepare correspondence, reports, and client documents from dictation, handwritten notes, and general instructions/liliReview and edit outgoing materials for accuracy and clarity/liliCreate and maintain project and activity files/liliPrepare project setup information and billing profiles/liliMaintain records of engineer licensure, training, and certifications/liliDraft PowerPoint presentations for client meetings/liliPrepare agendas and meeting notes for staff and in-house meetings/liliMaintain client information and assist with client communications/liliAssist with billing, invoice review, and project expenditure tracking/liliMaintain laboratory test logs and transfer data to accounting/li/ulpAdditional Responsibilities/pulliServe as backup for answering phones and receptionist duties/liliProvide backup support for ordering and tracking office supplies/liliAssist with planning company events/liliEnsure all work complies with Thompson Holdings Health, Safety Environmental Management System, policies, and procedures/liliActively participate in safety meetings, toolbox talks, and safety initiatives/liliPerform other duties as assigned/li/ulpQualifications/pulliMinimum Requirements/liliHigh School diploma or equivalent required; Associates degree in a relevant field preferred/lili35 years of administrative experience in a professional office environment/liliValid drivers license/liliStrong written and verbal communication skills/liliProficiency in Microsoft Word, Excel, and Outlook required; PowerPoint, Publisher, and Adobe Standard preferred/liliWillingness to work flexible schedules and overtime as needed/liliAbility to work on-site in a heavy construction setting/liliFlexibility and willingness to travel when needed/li/ulpPhysical Requirements/pulliAbility to sit for extended periods and operate office equipment/liliAbility to stoop, bend, and file documents/liliEffective verbal and written communication skills/liliAbility to safely operate a motor vehicle/liliAbility to lift and carry up to 25 lbs/li/ulpAbout Thompson Engineering/ppFounded in 1953, Thompson Engineering has built a reputation for excellence in construction quality assurance, geotechnical services, materials testing, and inspection.
