Purpose Assists the Office of Student Services (OSS) with activities and duties that pertain to Option III graduate student recruitment, admissions, and program advising. Reports to the Director for Option III Program Advising & Admissions.

Responsibilities

Provide administrative support for recruiting packages and maintain records on admissions and recruitment.

Prepare and send acceptance/denial letters and program literature.

Support prospective student and admitted student campus visit events.

Facilitate information sessions for prospective graduate applicants.

Coordinate admissions processes, resolve related problems, and notify applicants of missing application material.

Compile and provide applicant data to the Graduate Admissions and Progression Committee (GAPC).

Attend selected GAPC meetings to present data compiled.

Communicate admissions decisions to the Graduate School and admitted applicants.

Perform prerequisite transcript evaluations for applicants.

Participate in student recruitment activities, including traveling to recruitment events.

Coordinate Option III recruitment events, manage budgets, catering, facilities, and promotional materials; create online registration forms; and manage travel and room reservations.

Maintain records and databases on applicants and current students; produce letters, reports, and enrollment tracking.

Serve as a contact for prospective, current, and alumni communities; advise on academic and program requirements.

Assist students with forms, documents, and graduation processes; coordinate with the SON evaluator for graduation surveys.

Manage administrative academic matters for enrolled students, including grade reporting, course registration, scheduling, and financial processes.

Assist with logistics of classes, scheduling, catering, and coordination with student support staff.

Provide staffing support for Office of Student Services activities such as commencement, graduation, and welcome events.

Collaborate with OSS teammates on graduation-related activities, update information, and order Option III Doctor of Nursing Practice medals.

Communicate with staff, administrators, and faculty working on non‑Option III graduate programs as needed.

Other related functions as assigned; contribute to a positive and collegial work environment.

Qualifications

Bachelor's degree (Relevant education and experience may be substituted).

Master’s Degree in Higher Education Administration or relevant graduate degree (preferred).

Experience with UT‑Austin policies and processes for graduate students.

Experience with UT‑Austin information systems such as EASI, Graduate Worksheet, and other listed systems.

Experience with Option III recruitment, admissions, and program admissions, especially for a school of nursing.

Highly detail‑oriented; manage complex tasks with precision and accuracy.

Superior coordination and project management skills.

Salary $55,000

Occasional evening or weekend hours may be required during busy periods.
