Schedule / Expected Work Hours 21 hours per week in the office; flexible/remote available the remainder. Office located in Malvern, PA, but the territory covers major portions of Montgomery and Chester counties. On call/after hour responses will be required in the event of an emergency or a caregiver "no show".
Job Summary The Scheduler is responsible for effectively and efficiently scheduling caregivers to ensure continuity of care for clients. This role requires strong organizational and communication skills to manage last‑minute changes, ensure adequate staffing, and maintain positive relationships with clients and caregivers. Responsibilities
Coordinate and maintain daily schedules for caregivers based on client care plans and availability
Communicate assignments and updates to caregivers clearly and promptly
Ensure all shifts are staffed and coverage is maintained, including responding to callouts and emergencies
Match caregivers with clients based on skills, preferences, and geographic location
Maintain up-to-date records in scheduling software and client databases
Work closely with care coordinators, nurses, and management to address scheduling needs and concerns
Provide exceptional customer service to clients and caregivers
Assist with onboarding and orientation of new caregivers as needed
Assist with weekly payroll processing as needed
Assist with client billing as needed
Qualifications
High school diploma or equivalent (Associate’s degree or higher preferred)
Previous experience in scheduling, staffing, or administrative coordination (home care or healthcare industry a plus)
Excellent organizational and time management skills
Strong verbal and written communication skills
Ability to handle high‑pressure situations and last‑minute changes
Proficient with scheduling software, Customer Relationship Management (CRM) and Microsoft Office applications
Reliable, flexible, and able to work occasional evenings or weekends if needed
