CareGivers NW
The Homecare Scheduler (the “Scheduler”) is the primary point of contact for clients and caregivers at CareGivers NW (“CareGivers” or the “Company”) and their primary responsibility is to develop, schedule, and manage the caregiver teams and the client relationships. The Scheduler is also the first level of customer support and must be focused on resolving caregiver and client concerns, escalating to the HomeCare Administrator, as needed, while maintaining a high level of customer satisfaction. As a result, the Scheduler is part coach, mentor. The Homecare Scheduler reports to the Administrator.
PRIMARY DUTIES AND RESPONSIBILITIES
Develop and maintain detailed daily, weekly, and monthly schedules for caregivers, ensuring adequate coverage for individuals' support needs.
Coordinate with care coordinators and individuals to determine optimal scheduling arrangements.
Manage schedule changes and adjustments as needed, communicating effectively with caregivers and individuals.
Match caregivers with individuals based on their skills, experience, and compatibility.
Track caregiver hours worked and ensure accurate timekeeping records.
Process caregiver visits for payroll and handles time off requests.
Maintain open and effective communication with caregivers, individuals, and care coordinators regarding schedule changes and updates.
Resolve scheduling conflicts and address concerns in a timely and professional manner.
Prepare reports and analyses as needed to support scheduling decisions and identify trends.
Implement strategies to enhance scheduling efficiency and ensure the highest quality of care for individuals.
Other duties as needed based on the evolving business needs
REQUIRED SKILLS AND ABILITIES
Strong understanding of healthcare regulations and best practices.
Excellent organizational and time-management skills.
Proficiency in healthcare software applications and electronic records.
Excellent verbal and written communication skills
Ability to handle emergencies calmly and effectively.
Ability to lift and assist clients as needed.
Able to work independently and manage multiple tasks simultaneously
Compassionate towards clients and caregivers, with a commitment to improving community health.
Ability to pass a background check
QUALIFICATIONS, EDUCATION, AND EXPERIENCE
High school diploma or equivalent required
Experience in scheduling or operations management, preferably in a healthcare or human services setting.
Reliable vehicle with auto insurance and a clean driving record
PHYSICAL REQUIREMENTS The Homecare Scheduler position will typically experience frequent sitting, fingering, grasping, feeling, talking, hearing, and repetitive motions. Occasional lifting of 25 lb. Occasional bending, twisting, stooping, squatting, pushing, pulling, standing, crawling, reaching, walking, driving, traveling, kneeling, and crouching.
WORK ENVIRONMENT This position is primarily based in an office with the option to work from a home office or other suitable location. This position will be in a professional office environment, utilizing typical office equipment such as computers, phones, and printers. This role may occasionally require travel to other office locations or off-site meetings, which may involve overnight stays. The position requires the ability to manage multiple tasks in a fast-paced environment while maintaining a high level of professionalism. Sound level – moderate. Temperature – moderate
