Human Resources Operations Coordinator

Purpose of Position
This position provides frontline support to employees and managers while ensuring smooth, accurate, and compliant HR processes. This role manages day-to-day HR operations including responding to employee inquiries, coordinating onboarding tasks, monitoring compliance requirements, maintaining accurate data, and supporting Human Resources with key people processes.
Summary Of Essential Job Functions
Respond to employee HR questions.
Provide guidance on policies, procedures, timekeeping, and benefits navigation.
Route more complex questions to the appropriate person as needed.
Draft employee‑facing communications, reminders, and announcements.
Coordinate pre‑employment steps, including background checks, screenings, and equipment requests.
Prepare recruitment and onboarding materials.
Track and follow up with managers on required onboarding tasks (I-9, checklists, training).
Update employee files, organizational charts, and internal systems during onboarding/exit processes.
Maintain accurate employee data in ADP, Office365 Lists, HR trackers, and internal documents.
Assist with audits, annual compliance records, reconciliations, and error resolution in payroll and HR systems.
Support analytics work by collecting, reviewing, and cleaning data.
Monitor manager completion of required HR tasks (evaluations, trainings, checklists, safety requirements).
Ensure accurate and timely processing of I-9s, background checks, certifications, and mandatory documentation.
Track employee leaves, required notices, and return‑to‑work steps.
Maintain digital and physical personnel files in accordance with state and federal laws.
Schedule interviews, onboarding sessions, trainings, and HR meetings.
Support annual HR cycles (benefits open enrollment, performance review deadlines, surveys).
Support company events and employee engagement activities.
Assist with policy updates, form management, and document organization.
Support process improvements to streamline HR workflows.
Provide backup support for payroll review, benefits administration, and other HR functions as trained.
Other duties as assigned.
Education and Experience Qualifications
2 years of experience in Human Resources, People Operations, or equivelant confidential administrative support role.
Demonstrated customer service experience.
Demonstrated attention to detail and accuracy.
Experience handling confidential information with discretion.
Experience with HRIS or similar database systems, ADP Workforce Now preferred.
Experience with Microsoft Office or Office365 (Excel, Word, Teams, Forms, Lists).
Physical Demands Of Position
Physically able to lift up to 20 pounds (materials/equipment).
Effective use of computer, laptop, cell phone and other mobile device to exchange information.
