Title: Administrative Specialist II – CMMS Coordinator

Salary: $39,671.00 – $69,426.00 (Pay Grade NC09)

Duty Station: DECM-Maintenance Operations complex, Raleigh, NC

Full‑time (40 hours per week)

Schedule: Monday – Friday; may require weekend work and overnight travel

Job Summary The Division of Engineering, Construction, and Maintenance (DECM) is recruiting a CMMS Coordinator to implement and manage the rollout of a new Computerized Maintenance Management Software (CMMS) for all DECM-Maintenance Regional Yards and DOI Institutional Maintenance personnel. The role requires overseeing database administration, system maintenance, user support, and training.

Responsibilities

Plan, coordinate, and execute the initial rollout and ongoing operation of the CMMS.

Administer enterprise‑level database software, ensuring data integrity and optimal performance.

Provide user support and training to maintenance and institutional personnel.

Monitor system usage, troubleshoot issues, and implement system enhancements.

Compile, analyze, and report key maintenance metrics and system usage statistics.

Collaborate with the DECM Engineering and Construction teams to integrate CMMS data with project planning and facility operations.

Maintain documentation for system configurations, procedures, and end‑user guides.

Qualifications

High school diploma or General Educational Development (GED) diploma plus four years of related administrative experience; or an equivalent combination of education and experience.

Demonstrated ability to compile, assimilate, and organize information and apply those skills to data collection, manipulation, and analysis.

Proficiency in MS Office (Word and Excel) and a willingness to learn new software programs.

Strong knowledge of problem‑solving and planning to execute actions or solutions.

Excellent communication skills, both verbal and written.

Experience within maintenance and/or construction administration.

Experience with Computerized Maintenance Management Systems, Enterprise Asset Management Systems, or similar enterprise‑level database software.

Experience implementing and administering computerized software systems, including ongoing operations, user support, training, and system maintenance.

Minimum Education and Experience High school diploma or GED plus four years of related administrative experience; or an equivalent combination of education and experience. (See the Education and Experience Equivalency Guide for details.)
