We are growing and looking for a reliable, organized Construction Office Secretary to help manage daily office operations and support our field teams. This role is ideal for someone who understands construction workflows and can keep jobs, paperwork, and communication running smoothly.
Responsibilities
Answer and route phone calls professionally.
Manage emails, calendars, and inspection schedules.
Organize job files (permits, plans, revisions, inspections).
Coordinate with inspectors, subcontractors, and clients.
Track permits, inspections, and job progress.
Assist with invoices, billing, and payment tracking.
Maintain subcontractor documents (COIs, W‑9s).
Support estimators and project managers as needed.
Required Qualifications
Construction office experience required (GC, framing, foundation, or trade office).
Strong organizational and multitasking skills.
Professional written and verbal communication.
Comfortable working with plans, permits, and inspections.
Proficient with email, calendars, and spreadsheets.
Reliable, detail‑oriented, and accountable.
Preferred (Plus Skills)
QuickBooks or invoicing experience.
Knowledge of Los Angeles building departments.
Experience with Procore, Buildertrend, or similar software.
Bilingual (English / Spanish).
Basic understanding of construction terminology.
