Position Summary
Provide administrative support to the clinical services team.
Principal Responsibilities
Perform general administrative functions: typing, copying, filing, and scanning.
Perform general receptionist functions: greet/service clients and visitors, check‑in clients and verify/collect their information, notify clinicians when their clients have arrived, answer and transfer calls.
Maintain a neat and organized reception area and ensure it is securely locked before leaving.
Maintain the clinical schedule: set appointments, prevent conflicting appointments, and make daily appointment reminder calls.
Maintain cancellation list and attempt to fill cancelled appointment slots.
Distribute paperwork to clients, review forms for accuracy, and obtain signatures as needed.
Assist with billing functions: verify insurance online or by phone and obtain insurance authorizations.
Provide additional billing support as assigned by the supervisor (data entry, reports, claims processing, etc.).
Maintain client records according to organizational policies and procedures.
Maintain required training (Ohio MHAS, CARF, etc.).
Maintain license or registration appropriate to profession and keep required continuous education.
Maintain strict confidentiality at all times.
Perform other duties as assigned.

Required Knowledge, Abilities & Working Conditions
Knowledge of customer service techniques, safety rules, organizational policies, and basic clinical office operations.
Abilities: multitask and work independently with minimal supervision; communicate clearly; physical requirements include standing, bending, stooping, sitting, walking, reaching above/below shoulder, repetitive hand use, and staying seated or standing for extended periods.
Working Conditions: standard office/clinical setting; may require weekend, evening, and holiday hours; may encounter potentially angry or violent clients; exposure to computers, monitors, copiers, and other standard office equipment.
Qualifications & Education Requirements
Experience with Microsoft Office products, including email.
Experience using Electronic Health Records (EHR) and related applications.
High School Diploma or Equivalent.
Minimum two (2) years of experience in a standard office/clinical environment.
Experience working in a mental health and/or addiction treatment agency is a plus.
