Hy‑Tek Intralogistics is seeking a Project Coordinator I for its Project Management department.
Job Title Project Coordinator I
Supervisor Manager, Project Coordination
Job Purpose The Project Coordinator is responsible for the project finances within the ERP at project turnover from sales through to the project close out. The Project Coordinator will work with the Project Manager and Engineer to ensure that Vendor POs and client invoices are within budget, and out‑of‑scope items result in change orders. The Project Coordinator I has responsibility for quick‑turn projects, defined as projects less than or equal to five million dollars.
Essential Duties and Responsibilities
Book projects within ERP
Create/Update Project Financial Workbooks (PFWB)
Create vendor purchase orders within ERP
Create client invoices within ERP
Create and update invoicing tracker via Smartsheet
Invoice submittals – email and/or client portals
Create change orders within ERP
Create credit memos within ERP
Follow up with internal and external teams via email/telephone/Teams meetings
Project close‑out tasks via ERP and Smartsheet
Review/update/create work instructions via SharePoint and Word
Continuous self‑development – internal processes, LinkedIn Learning, etc.
Knowledge, Skills, and Abilities
High school diploma required; bachelor’s degree preferred.
3+ years of training and/or experience in accounting/finance and/or project administration/management.
Excellent verbal and written communication, strong accounting, analytical, organizational, and problem‑solving skills.
Ability to work independently without direct supervision.
Capability to complete several tasks simultaneously without error.
Capability to meet deadlines in a fast‑paced environment.
Knowledge of Excel, Word, Outlook, OneNote, Smartsheet, SharePoint, and Acumatica.
Working Conditions
Work in an office environment and/or remotely with internet access.
Stationary position for extended periods.
Operating computer for extended periods.
Occasional weekend and night work required as project demands.
Occasional travel to other Hy‑Tek facilities (meetings, trainings, client site, etc.)
