Pre-Construction Coordinator
to join our growing multifamily construction team in
Charlotte, NC . This role provides critical administrative and project coordination support to our Pre-Construction Managers, site teams, and trade partners across multiple large-scale apartment developments.

Position Summary The Pre-Construction Coordinator supports the full pre-construction lifecycle of multifamily construction projects, with a heavy focus on permitting, licensing, Procore administration, documentation, and contract coordination. This role requires strong organization, attention to detail, and the ability to manage multiple projects across different jurisdictions.
This is an ideal role for someone with construction administration experience, particularly in multifamily, commercial, or residential construction, who enjoys being the operational backbone of a fast-moving team.
Key Responsibilities Pre-Construction & Project Support
Attend all pre-construction meetings and accurately document meeting minutes
Support Pre-Construction Managers, site leaders, and trade partners with day-to-day coordination
Track action items and follow up to ensure timely completion
Manage multiple projects and deadlines simultaneously
Permitting & Licensing
Manage permitting and licensing requirements for current and future projects
Understand jurisdiction‑specific permitting requirements
Complete and submit permit applications, including owner signatures and notarization when required
Upload documentation to municipal and county permit portals
Track and manage all open permits through issuance
Consolidate and distribute permits to construction teams
Attend pre‑permit meetings as required
Coordinate SWPPP documentation with vendors, including signatures and payments
Set up utility accounts as needed
Procore Administration
Create and set up new projects in Procore
Upload drawings, specifications, and pre‑construction documents
Add subcontractors and vendors to Procore
Enter Schedules of Values once provided by the Pre‑Construction Manager
Maintain current Certificates of Insurance (COIs)
Provide training and guidance to internal teams and trade partners on Procore and company tools
Contracts & Commitments
Send subcontracts and purchase orders for signature via DocuSign
Track execution of contracts and follow up to ensure timely completion
Work closely with Pre‑Construction Managers to keep commitments moving

High School Diploma or equivalent (required)
Construction or construction administration experience preferred
Procore experience strongly preferred
Experience with permitting, licensing, or construction documentation is a plus
Strong basic computer skills required
