Base pay range $25.00/hr - $33.00/hr

Job Summary/Objective We are looking for a Temporary Receptionist/Office Assistant to handle client‑facing duties as well as general office management tasks and administrative support. The person must have excellent communication, time‑management, multitasking skills, a positive attitude, and a strong work ethic. This role will cover a maternity leave.

Essential Job Functions

Work Hours: (M‑TH, 7:30 am‑4:00 pm)

Welcome guests and visitors: Greet guests, notify the person(s) they are meeting, offer drinks, courtesy of restroom location, and Wi‑Fi.

Reception area: Keep the area clean, lights and water fountain on, and provide up‑to‑date magazines.

Café maintenance: Keep the area clean and stocked with coffee supplies; load and empty dishwashers as scheduled.

Coffee machine maintenance: Clean daily and perform a full cleaning cycle on Fridays.

Concierge information: Maintain a binder/webpage with recommendations of restaurants, hotels, print options, safety info, and maps.

Calendar maintenance: Support accurate scheduling in the shared Outlook calendar across departments.

Field employee support: Track arrivals and assist employees visiting headquarters.

New hire onboarding support: Maintain welcome packets, print documents, set up desks, and procure swag.

Property management liaison: Submit work orders via Building Engines for plumbing, lighting, and janitorial needs.

Conference room management: Ensure rooms are clean, stocked, and prepared per executive calendars.

Catering support: Coordinate supplies, set‑up, and clean‑up for meetings and vendor deliveries.

Office supplies: Inventory and restock weekly; maintain a supplies checklist.

Kitchen supplies: Inventory and restock weekly.

General inventory maintenance: Manage office, kitchen, and storage supplies and orders.

Company material orders: Work with vendors to order apparel and office supplies.

Office refrigerator maintenance: Daily inventory and restock; remove expired items.

Mail collection and distribution: Pick up mail, print shipping labels, and send packages via FedEx/UPS.

Safety committee: Member of the committee, maintain procedures, and monitor the logbook.

Partnership: Work closely with the Admin team and lead bi‑weekly admin meetings.

Projects: Assist with various company projects.

Budget management: Maintain budgets for supplies and lunches, and explore savings opportunities.

Minimum Education and Experience Required

High School diploma with some college or equivalent experience.

2+ years of experience as an Office Assistant or Administrative Assistant.

Strong Outlook skills and multitasking ability.
