Position Overview
Legal Assistant - Patent Intellectual Property
Provide administrative and operational support within an intellectual property practice. Assist attorneys and legal professionals with daily workflow and documentation. Support a fast-paced environment requiring accuracy, discretion, and organization.
Base pay range
$50,000.00/yr - $90,000.00/yr
Primary Responsibilities Provide comprehensive administrative support, including calendar management, meeting coordination, and appointment scheduling
Draft, edit, and format correspondence and legal documents
Perform basic document processing and organization tasks
Maintain and update electronic client files, including consistent email and attachment filing
Assist with billing-related processes, invoice tracking, and record maintenance
Support client intake procedures, including conflict review and engagement documentation
Track expense submissions and related approvals
Monitor professional credentials, including licenses, continuing education requirements, and renewals
Coordinate travel arrangements and logistical needs as required
Skills and Abilities Reliable and professional with a strong sense of accountability
Strong communication skills and ability to interact effectively with diverse teams
Ability to prioritize tasks and manage deadlines efficiently
Comfortable working under pressure in a deadline-driven environment
Adaptable to shifting priorities and changing schedules
Capable of managing multiple assignments with frequent interruptions
Maintains confidentiality and exercises sound judgment
Required Qualifications At least three years of experience providing legal or administrative support in a professional setting
Strong organizational skills with the ability to work independently
Exceptional attention to detail and accuracy
Solution-focused mindset with a commitment to quality work
Excellent written and verbal communication skills
Advanced proficiency with Microsoft Office applications
Strong proofreading and grammar skills
Demonstrated ability to handle confidential information appropriately
Ability to meet deadlines in a fast-paced environment
Preferred Experience Prior support experience within an intellectual property or patent-focused practice
Familiarity with patent-related filings or regulatory procedures
Experience maintaining templates and standardized correspondence
Exposure to document management or time tracking systems
Experience with legal software platforms such as iManage or Intapp
