Position Summary:

Checks front‑office accounting records for accuracy and, on a daily basis, summarizes and compiles information for the hotel’s financial records. Tracks room revenue, occupancy percentages, and other front‑office operating statistics. Prepares daily summaries of cash, check, and credit‑card activity and reflects the hotel’s financial performance for the day.

Essential Job Functions

Post room charges and taxes to guest accounts.

Process guest charge vouchers and credit‑card vouchers.

Post charges that have not yet been posted or were incurred on the night‑audit shift.

Transfer charges and deposits to master accounts.

Verify all charges are assigned to the appropriate departments.

Confirm all front‑desk transactions are supported by documentary evidence and signatures as necessary and correctly posted in the PMS.

Verify that all charges posted from the PMS and POS software have reached the correct guest portfolios and are not missing.

Verify all account postings and balances.

Verify that room rates are correct and post those rates to guest accounts.

Monitor coupon, discount, and other promotional program status.

Prepare a summary of cash, check, and credit‑card activities.

Summarize results of operations for management.

Check figures, postings, and documents for accuracy; record, store, access, and analyze computerized financial information.

Prepare end‑of‑day procedures.

Follow the end‑of‑day/night‑audit checklist.

Have complete knowledge of emergency procedures.

Balance the day’s charges, making corrections as necessary.

Perform wake‑up calls.

Run end‑of‑day processes in property‑management software (PMS).

Understand principals of auditing, balancing, and closing out accounts.

Operate PMS and other front‑office equipment.

Respond to guests’ needs, special requests, and complaints and alert the appropriate manager as needed.

Perform nightly balancing of in‑room video and long‑distance telephone services.

Function as a front‑desk clerk and perform check‑in and check‑out procedures.

Perform other duties as may be assigned.

Job Requirements

Previous experience working as a night auditor/front‑desk clerk in large hotel operations preferred.

Read and understand instructions, safety rules etc.

Attend meetings as required.

Ready to work varied shifts on weekdays, weekends, and holidays.

Ability to work under pressure.

Must pass a pre‑employment drug test and background investigation.

Education, Experience, and Certifications

Previous experience working as a night auditor/front‑desk clerk in large hotel industry operations preferred.

Read and understand instructions, safety rules, etc.

Attend meetings as required.

Ready to work varied shifts during weekdays, weekends, and holidays.

Ability to work under pressure.

Must be able to pass pre‑employment drug test and background investigation.

Knowledge and Skills

Ability to work as a team.

Use good communication skills.

Computer skills.

Environmental Factors and Physical Requirements

Perform all physical aspects of the position, including being mobile, bending, reaching, and lifting up to 25 pounds.

Recognize and react calmly and effectively in hazardous/dangerous situations.

May be exposed to verbal outbursts.

Work environments range from quiet work areas to noisy indoor and outdoor spaces with several groups talking concurrently.

Must be able to sit or stand for extended periods.

Observe all areas of the hotel lobby with clear vision.

Concentrate for long periods of time.
