We are seeking a detail-oriented and proactive Project Manager to keep our operations running smoothly and support our growing team.

Position Summary:

The Office Manager plays a critical role in the day-to-day administration and operations of our real estate building office. This position will be responsible for managing office systems, supporting project teams, coordinating with vendors, assisting with permits and documentation, and acting as a key point of contact for internal and external communications.

Key Responsibilities:

Office & Administrative Management

Oversee the daily operations of the office, ensuring it is organized, efficient, and well-stocked.

Manage incoming calls, emails, mail, and visitors with professionalism.

Maintain office calendars, coordinate meetings, and assist with scheduling for project managers and leadership.

Order office and job site supplies as needed.

Project & Operations Support

Assist with document control, project paperwork, and tracking deadlines.

Help with permit applications, contractor licenses, and compliance documents.

Coordinate with architects, engineers, municipalities, and subcontractors as needed.

Track and manage subcontractor insurance certificates and W-9s.

Assist with basic bookkeeping tasks such as invoicing, expense tracking, and purchase orders.

Communicate with vendors about billing issues and ensure timely payments.

Help maintain budget tracking documents for construction projects.

Qualifications:

Required:

Proven experience as an Office Manager, Administrative Manager, or similar role (preferably in real estate, construction, or development).

Strong organizational, multitasking, and time-management skills.

Excellent written and verbal communication skills.

Proficiency with Microsoft Office Suite, Google Workspace, and project management tools.

Familiarity with permit processes, construction documents, or AIA contracts is a plus.

Preferred:

Experience with QuickBooks, Buildertrend, Procore, or similar construction/project management software.

Knowledge of real estate development or property management operations.
