Administrative Assistant
provides administrative and front‑office support to the Office Manager, Management Team, and employees of Flagship Healthcare Properties. This role works closely with the existing Administrative Assistant and shares responsibility for reception coverage, office operations, and general administrative support. The ideal candidate for this position is a reliable and skilled multi‑tasker who is organized, trustworthy and thorough with administrative tasks. Key Duties and Responsibilities:
Assist with daily administrative tasks Share front desk coverage on an alternating schedule; greet clients and visitors professionally Answer and direct incoming calls appropriately Coordinate meeting scheduling, conference room reservations, and office space usage via Microsoft Outlook Prepare, receive, sort, and distribute incoming and outgoing mail and packages (USPS, FedEx, UPS, certified mail) Coordinate travel and meeting‑related reservations (flights, hotels, car rentals, restaurants, conferences) Set up conference rooms and provide basic IT and AV troubleshooting as needed Maintain cleanliness and organization of reception areas, kitchens, and conference rooms Order and manage office and kitchen supplies with administrative team Assist with quarterly office events, holiday lunches, and company activities Perform general clerical duties, special projects, and support across departments Other duties as assigned Desired Skills and Experience:
Minimum 2 years of administrative or related experience Strong organizational and time management skills Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Ability to multitask, prioritize and meet deadlines Excellent verbal and written communication skills Professional demeanor with a high level of confidentiality Team‑oriented with a positive, proactive attitude Alignment with company core values: Considerate, Responsive, Optimistic, Excellence, Grateful Full time position with benefits package.
