Performs clerical work for the Public Works Director and Assistant Public Works Director. Assists other departments, when needed. Duties include filing, typing, answering phones, dispatching incoming Public Works calls, and maintaining natural gas records and reports. Works with other management staff, including the Utility Superintendent, Street Superintendent, Crew Leaders, and Chief Water/Wastewater Operator.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Public Works Director.

Directs: This is a non-supervisory position.

EXAMPLES OF WORK Essential Duties*

Answers telephone, responds to citizens' requests and complaints, and ensures that appropriate action is taken.

Assists the Administrative Clerk with the 2-way radio and issues work orders, as required.

Receives gas leak complaint calls, completes gas leak forms, dispatches complaint information, and enters complaints into the computer; Maintains records of gas and gas loss, and files various reports with the appropriate authorities, including the Texas Railroad Commission; Prepares damage prevention/safety letters for distribution to contractors.

Conducts filing for all divisions within Public Works.

Purchases supplies for the Public Works Department.

Issues Purchase Orders for supplies for the Public Works Department.

Completes utility investigation forms and issues work orders for new taps.

Files, copies, opens, sorts, distributes, and sends mail and UPS packages.

Assists with records for the Municipal Airport.

Collects utility payments, when needed.

Assists with the Administrative Clerk duties, when absent.

Assists with receptionist duties, when needed.

Answers a multi-line telephone, directing calls, providing information, and/or taking messages, as appropriate.

Files various reports with the appropriate authorities, including the Texas Railroad Commission and the Texas Commission on Environmental Quality.

Performs such other related duties as may be assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of: standard office practices and procedures; and departmental policies and procedures.

Skill/Ability to: demonstrate proficiency in both oral and written communication; motivate employees; read and learn city ordinances; take complete and accurate messages; accurately type; proofread material to ensure accuracy; operate standard office machines and word processing equipment; maintain accurate records of official city business; prepare reports and correspondence neatly and professionally; apply correct oral and written business English, spelling, and punctuation; maintain clerical records and files with precision and accuracy; organize data, and establish and maintain effective working relationships with co-workers.

ACCEPTABLE EXPERIENCE AND TRAINING High school graduation, or its equivalent, plus at least one year of experience in secretarial work; or completion of a trade or technical school program in office administration; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

CERTIFICATES AND LICENSES REQUIRED None.
