Job Overview The Second Judicial District Court’s Children’s Court Hearing Office Division is hiring an Administrative Assistant to support court operations, provide customer service, coordinate projects, and maintain office systems.

Responsibilities

Plan, organize, and coordinate day‑to‑day and long‑term projects.

Prepare procurement requests, bids, and quotes.

Distribute materials, agendas, minutes, and documents.

Perform data entry, electronic filing, copying, mailing, and record dissemination.

Draft, proofread, edit, and manage timely processing of documents, correspondence, and records.

Maintain rosters for committees and groups.

Serve as liaison with court staff, state agencies, attorneys, and the public.

Manage dockets and calendars, including hearings, deadlines, and appointments.

Coordinate and schedule meetings, facilities, training, testing, vehicles, travel, staff, and video/teleconference technology.

Answer phones, provide customer service, and greet visitors.

Demonstrate conflict resolution and de‑escalation skills while providing customer service.

Track information and data using electronic databases.

Compile and prepare statistical reports, certificates, fliers, brochures, and business cards.

Develop presentations as needed.

Route files, mail, and records to appropriate destinations.

Monitor, track, refer, and orient program participants.

Maintain and purge customer files, including confidential information.

Coordinate employee identification, security access, and validate parking.

Track and prepare travel or reimbursement requests.

Coordinate services with outside agencies.

Reconcile incoming monies.

Train employees in day‑to‑day procedures and office functions.

Analyze procedures as needed.

Mentor new Administrative Assistants and other court staff.

Prepare orders and referrals for judicial processes.

Qualifications

High school diploma or GED (minimum).

Four (4) years of experience providing administrative, secretarial, or clerical support, customer service, phone answering, front‑desk work, handling money, and related field.

Advanced knowledge of customer service, office management practices, project management techniques, general office practices, and prioritization.

Excellent oral and written communications, time management, attention to detail, organizational skills, and MS Office proficiency.

Additional post‑secondary education may substitute up to one (1) year of experience (30 semester hours equaling one year).
