Performs advanced administrative support and technical program assistance at the direction of the unit managers. Responsible for the management and assignment of applications. Performs database management and entry. Performs telephone coverage via the provider licensure and certification call center. Provides basic and intermediate level instructions and information to callers. Prepares routine correspondence. Processes incoming mail and faxes and distributes or emails to appropriate staff. Coordinates meetings and scheduling on behalf of the unit manager.
Essential Job Functions
EJF 1:
Administrative Tasks: Provides administrative support to the unit manager. Processing mail and faxes. Preparing correspondence. Coordinating and scheduling meetings.
EJF 2:
Application Assignment: Responsible for the management and assignment of applications. This includes assigning applications to specialists, reviewing applications with payment pending for accuracy, and ensuring workflow of applications.
EJF 3:
Database Management: Ensures critical information is entered into various systems for facility licensure. Maintains and updates application and license data in the Texas Unified Licensure Information Portal (TULIP).
EJF 4:
Customer Service: Interprets and communicates licensing requirements to internal and external stakeholders, orally and in writing. Provides highly complex technical assistance and consultation regarding program requirements and resolves customer concerns. Provides rule and policy interpretation to applicants, their representatives, and the general public.
EJF 5:
Other Duties as Assigned: Performs other duties as assigned in order to ensure services are provided. Willingly completes other duties as assigned within time frames and minimum standards established by supervisor.
Knowledge, Skills & Abilities Current regulatory experience; knowledge of assisted living, intermediate care and prescribed pediatric extended care center licensure rules and regulations preferred. Knowledge of local, state, and federal laws and practices related to the regulatory program area. Experience with TULIP, ASPEN, and other internal databases preferred; experience with Microsoft Office products; skill in communicating effectively, verbally and in writing, with all levels of staff, and the ability to establish and maintain effective working relationships. Ability to analyze and operationalize information into policies and procedures as needed and ability to develop, evaluate, and conduct research. Experience gathering statistics, analyzing information, and identifying trends.
Registration or Licensure Requirements None
Initial Screening Criteria Graduation from a two-year college or equivalent is generally preferred. Experience and education may be substituted for one another on a year-for-year basis. Experience developing/interpreting policies, rules, or standards required. Experience providing detailed written information to individuals or entities and experience working in or with teams; experience providing training and technical assistance to individuals. Experience in customer service via call center.
