Association Registrar - Gateway Region YMCA (Healthcare) The Gateway Region YMCA is one of the leading nonprofit charitable organizations in the St. Louis metropolitan region, with a focus on nurturing the potential of every child and teen, improving health and well being, and supporting and serving our neighbors. For more than 170 years, the Y's mission has been to put Christian principles into practice through programs designed to build healthy spirits, minds and bodies for all. Responsibilities
Serves as a systems expert in order to provide cross functional support for designated department leads and various team members across the association providing data analysis
Provide training for end users supporting staff onboarding needs as well as annual staff readiness
Ensuring compliance and consistency in Standard Operating Procedures
Disseminating, reconciling and resolving Accounts Receivable debt through monthly monitoring of financial reports
Support staffing needs for child care programs when needed
Train association child care registrars on the management of accounts, SOP's, and registration processes
Provide quality member service, retention and satisfaction
Responsible for communicating effectively with Site Directors regarding new enrollments and accounts receivable
Responsible for maintaining and updating enrollment status of all participants in the Child Care programs
Daily communications with Y team members regarding items that need to be completed at the branch level
Develop and maintain process maps for what the branch registrars are responsible for and what the Association Registrar is responsible for
Ensure appropriate processing for child care attendance and submission to state portals
Audit child care state portals to ensure proper input and output of information is utilized to maximize the Association's payments from the state
Maintain accurate organized records for state licensing and state subsidy contracts at all times
Responsible for administration, maintenance, billing, reporting usage and payment receipt for Third Party agreements
Performs periodic audits and monitors all financial and billing records to maximize monthly revenue and minimize debt generated
Effectively communicate all policies and procedures to current and future participants
Responsible for calling account holders and notify them of balances due and organizing suitable repayment options in accordance with YMCA policies
Maintain a positive and professional attitude and appearance with a Servant Leadership attitude
Responds to all customer and community inquiries and complaints in a timely manner
Serve as a member of the Association Child Care team
Participates in appropriate team meetings
Perform all other duties as assigned
