Litigation Executive Assistant – Wilson Sonsini Goodrich & Rosati

Wilson Sonsini is a leading legal advisor serving technology, life sciences, and other high‑growth enterprises worldwide. The firm’s Litigation department in the San Francisco office seeks a highly organized, efficient, and meticulous Executive Assistant to support partners and associates.

The role is hybrid, with a flexible schedule that supports a warm and supportive office culture.

Key responsibilities include:

  • Interface with clients, firm resources, and vendors on attorneys’ behalf
  • Book travel and manage calendars and scheduling
  • Process expenses and enter, edit, release, and revise attorney time entries
  • Prepare engagement letters, client letters, memos, and basic correspondence
  • Prepare documents (proofreading, revising, editing/red‑lining, creating shells of legal documents)
  • Coordinate internal and external meetings, depositions, mediations, and other events (conference room reservations, catering, visitor lists)
  • Interface with finance and assist with billing
  • Set up and maintain document workspaces and serve as file keeper for case matters
  • Manage email distribution lists and contact information for clients and vendors
  • Maintain court login/passwords, bar membership, CLE credits, and dues
  • Serve discovery and other substantive mailings/submissions
  • Order Certificates of Good Standing for Pro Hac Vice
  • Assist with hearing and trial logistics
  • Handle printing, copying, and binder creation
  • Conduct e‑filing in state and federal courts (required)

Required qualifications:

  • 5+ years of litigation experience within a law firm
  • Bachelor’s degree or equivalent work experience
  • Strong attention to detail, excellent organizational and prioritization skills
  • Ability to treat sensitive and confidential information with discretion
  • Strong sense of urgency, accountability, flexibility, and resourcefulness
  • Ability to perform professionally under pressure, managing multiple tasks and deadlines
  • Tact, discretion, good judgment, and integrity in all situations
  • Excellent interpersonal, written, and verbal communication skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Capacity to work independently to complete assignments per instructions
  • Willingness to work overtime as needed

Salary: $46.67 – $63.14 per hour (plus overtime and a discretionary year‑end merit bonus). The position also offers a comprehensive benefits package.
