The incumbent will serve as an Advanced Medical Support Assistant providing administrative support work relating to the care and treatment given to patients in inpatient units, outpatient clinics, patient scheduling call centers, Care in the Community Support Staff (CitC), and/or ancillary support services.

Responsibilities

Serve as the initial point of contact for units, clinics, patients, call centers, and CitC, scheduling appointments, tracking, reviewing, and responding to electronic orders, consults, and other electronic medical record elements.

Utilize computerized data entry and information processing systems and software related to patient care, including basic rules and regulations governing visitors and patient treatment.

Provide specialized and expert administrative patient support within an interdisciplinary coordinated care delivery model.

Recommend changes to existing clinic procedures based on current administrative guidelines and ensure clinic schedules are closely monitored to support clinic needs.

Coordinate with the patient care team to review clinic appointment availability (utilization) and make adjustments as necessary.

Communicate with patient, interdisciplinary teams, VA medical centers, and other agencies (e.g., send correspondence to notify patients of lab results; prepare follow‑up care systems such as consults, tests).

Process incoming patient secure messaging through MyHealthyVet and coordinate with the care team as appropriate.

Participate in team huddles and meetings to manage, plan, problem‑solve, and follow‑up with patient care.

Set priorities and deadlines, adjust workflow to meet team and patient needs.

Identify incomplete encounters and communicate findings to providers.

Assist the team in reinforcing the plan of care and self‑help solutions.

Enter appropriate information into the electronic record and monitor pre‑appointment information to assure readiness for patient visits/procedures.

Manage patient systems to verify and validate accuracy, resolve issues, and evaluate patient information and clinic schedule lists.

Inform team members about shared patients (those receiving care at multiple VA centers or in the community).

Work Schedule Monday – Saturday, 7:00 AM – 6:00 PM, as based on the needs of the service.

Pay Competitive salary and regular salary increases.

Paid Time Off 37–50 days of annual paid time per year (13–26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year).

Parental Leave After 12 months of employment, up to 12 weeks of paid parental leave in connection with birth, adoption, or foster care placement.

Child Care Subsidy After 60 days of employment, full‑time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs (maximum $416.66 per month).

Retirement Traditional federal pension (5 years vesting) and federal 401(k) with up to 5% contributions by VA.

Insurance Federal health, vision, dental, term life, and long‑term care (many federal insurance programs can be carried into retirement).
