We are seeking an experienced Executive Administrative Assistant to provide high-level administrative support to senior leadership, including the President and Chief Operations Officer.

About the Role The Executive Administrative Assistant serves as a trusted partner to senior leadership, ensuring priorities are managed efficiently and operations run smoothly. This role requires strong organizational skills, professionalism, and the ability to anticipate needs.
The position also includes limited personal assistant support for the Chief Operations Officer, such as light scheduling coordination or personal logistics support, as needed.
Key Responsibilities
Manage complex executive calendars, scheduling meetings, resolving conflicts, and prioritizing time-sensitive requests
Provide email and inbox management support, including drafting correspondence and identifying urgent matters
Prepare executives for meetings by organizing agendas, materials, and follow-up action items
Track action items and deadlines to ensure timely follow-through
Serve as a professional point of contact for internal teams and external partners
Complete expense reports and track reimbursements
Maintain organized files, records, and documentation
Handle confidential executive, operational, and personal information with discretion and sound judgment
Provide limited personal assistant support to the Chief Operations Officer, as needed
Perform other related duties consistent with the role
Qualifications
4–7 years of experience as an Executive Administrative Assistant, Executive Assistant, or in a similar executive-support role
Demonstrated experience supporting senior leaders or executive teams
Strong organizational, time management, and prioritization skills
Excellent written and verbal communication skills
High level of professionalism, discretion, and reliability
Ability to manage multiple priorities in a fast-paced, onsite environment
Proficiency with email, calendar systems, and standard office productivity tools
Education
Bachelor’s degree preferred or an equivalent combination of education, training, and professional experience.
