GA - Recruitment and Onboarding (Administrative)

As the Graduate Assistant for Human Resources Talent Acquisition, you will support the recruitment lifecycle by coordinating interview scheduling, conducting initial phone screens, and assisting with onboarding processes. This role partners closely with the Talent Acquisition Specialist to ensure a smooth, efficient, and positive candidate experience. The position also helps maintain accurate recruitment records and supports day‑to‑day hiring operations. This is a two‑year position with the expectation of successful graduation from Carroll University with a Master’s Degree.
Responsibilities
Act as the front‑line for Human Resources, taking general recruitment inquiries and providing assistance to constituents including applicants, candidates, and employees.
Process pre‑employment checks and new hire paperwork.
Serve as a lead related to adjunct onboarding and adjunct contract management.
Establish and maintain strong partnerships with internal customers including Talent Acquisition Specialist, Hiring Managers, Benefits Specialist, HR Business Partners, Director of Human Resources, and University Counsel to develop recruiting plans and cost‑effective recruitment strategies and professional and positive interactions with stakeholders.
Assist in the full life‑cycle hiring process for hourly and salaried positions including phone interviews, onsite interviews, reference checking, etc.
Collaborate in the planning and execution of on‑campus events.
Attend recruitment job fairs and serve as a representative of the university.
Facilitate weekly new employee orientations.
Perform administrative duties such as answering phones, filing, creation of employee folders, and assembly of benefits packages.
Audit compliance paperwork in new hire files.
Maintain files, photocopies, complete data entry, and manage data within the HR/Payroll system.
Leverage a variety of recruiting resources, social media, and internet space to find top talent (e.g., search engine optimization, Boolean searches, LinkedIn, Facebook, Twitter, and other social media platforms).
Perform other duties and projects as assigned.
Qualifications Education and Experience
Bachelor’s degree is required.
Previous experience in human resources is preferred.
Previous experience working in higher education is preferred.
Proficiency with Microsoft Office (Word, Excel, PowerPoint) is required; experience with databases is a plus.
Maintain full‑time status in an eligible Carroll University graduate program; tuition is fully waived for the following graduate programs: Athletic Training, MBA, Exercise Science, Master of Education, and Master of Arts in Teaching.

Ability to maintain a high level of confidentiality.
Strong interpersonal and organizational skills; ability to perform a variety of tasks simultaneously.
Strong attention to detail.
Ability to work effectively with people regardless of their age, gender, race, sexual orientation, ethnicity, religion, ability, socio‑economic background, or job type.
Ability to work independently or in a team environment.
Excellent written and verbal communication skills.
Ability to work in a fast‑paced environment.

Customer service experience is strongly preferred.
Candidate must be willing and able to support and advance the University mission.
Term of Employment This position is limited to a two‑year employment term.
