Overview We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will bring prior experience from a professional services environment, such as an accounting firm, financial services company, or banking institution, and will be comfortable working in a fast-paced, detail-driven setting where confidentiality, accuracy, and professionalism are critical.
This role requires exceptional organizational skills, strong judgment, and the ability to manage multiple priorities while supporting executives and contributing to overall operational efficiency.
Key Responsibilities
Provide comprehensive administrative support to executives, including calendar management, meeting coordination, and travel arrangements.
Serve as a primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
Prepare, review, and edit correspondence, reports, presentations, and other business documents.
Manage confidential and sensitive information with the highest level of discretion.
Coordinate meetings, including agenda preparation, materials distribution, note-taking, and follow-up on action items.
Assist with expense reporting, invoicing, and other administrative processes common to financial or accounting environments.
Support project coordination and special initiatives as assigned by leadership.
Maintain organized digital and physical filing systems in compliance with firm policies.
Anticipate executive needs and proactively resolve administrative or logistical issues.
Required Qualifications
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
Prior experience working in an accounting firm, financial services company, banking institution, or similar professional services environment.
Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with document management systems is a plus.
Excellent written and verbal communication skills.
Exceptional attention to detail and organizational skills.
Ability to manage competing priorities and meet deadlines in a fast-paced environment.
High level of professionalism, discretion, and judgment.
Preferred Qualifications
Experience supporting senior executives or partners.
Familiarity with compliance-driven or regulated environments.
Experience handling client-facing communications.
Associate’s or Bachelor’s degree preferred.
