Procurememnt Assistant (PA) (Washington, DC) Procurement Assistant (PA) Full-Time | On-Site | Washington, D.C.

Join a mission-driven team supporting Federal acquisition operations within a dynamic contracting environment. In this role, you will provide essential contract administration and office automation support, ensuring acquisition files are complete, accurate, and compliant with Federal regulations. You will work closely with Contract Specialists, leadership, program staff, and external stakeholders to support procurement actions from pre-award through closeout while maintaining high standards of professionalism, confidentiality, and customer service.

Key Responsibilities

Provide comprehensive administrative and contract support within a Federal acquisition operations environment, ensuring accuracy, organization, and compliance with applicable policies and procedures.

Maintain official contract and acquisition files, including both physical and electronic records, in accordance with Federal records management requirements.

Manage electronic filing systems, with a strong emphasis on Microsoft SharePoint, ensuring proper organization, version control, and accessibility of acquisition documentation.

Perform contract administration support activities, including document tracking, distribution, filing, and record maintenance for CGM Division contracts and awards.

Serve as a liaison and point of contact for acquisition staff, program transaction teams, and external vendors regarding administrative and documentation-related matters.

Assist the Managing Director and Deputy Managing Director of CGM with day-to-day administrative support, special projects, and ad hoc acquisition-related tasks.

Coordinate with CGM colleagues to ensure acquisition packages and award documents are complete, properly formatted, and ready for review or execution.

Research, compile, and assemble information for reports, briefings, meetings, and conferences, ensuring timely and accurate delivery.

Interface with the MCC accounts payable agent to support timely invoice processing and payment coordination.

Maintain special records, logs, trackers, and reports related to procurement actions, workload, and administrative activities.

Provide office automation support utilizing word processing, spreadsheets, databases, electronic calendars, document scanning tools, presentation software, and other standard office applications.

Assist the MCC Director of Policy, Systems, and Training with administrative and recordkeeping support related to the MCC FAC-COR/PM Program.

Support proper records management practices for CGM files within Microsoft SharePoint, ensuring consistency with internal guidance and Federal requirements.

Perform all assigned duties with a high level of professionalism, tact, discretion, and efficiency, maintaining confidentiality and supporting positive working relationships.

Education and Experience Education:

A high school diploma or equivalent.

Experience:

Minimum of four (4) years of experience in a Federal contracting or administrative support role with at least one (1) year of specialized experience equivalent to the Federal Government GS-7 level, supporting acquisition or contract administration activities.

Skills and Qualifications

Demonstrated experience providing administrative and contract support within a Federal acquisition operations environment.

Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Experience using Microsoft SharePoint for electronic filing, records management, and document control.

Knowledge of clerical procedures, filing systems, and records management practices applicable to Federal contracts.

Ability to support contract administration functions, including document tracking, file maintenance, and coordination of award documentation.

Strong written and verbal communication skills with a professional and customer-service-oriented approach.

High attention to detail with the ability to organize, prioritize, and manage multiple tasks in a fast-paced environment.

Ability to work independently while effectively supporting acquisition teams and leadership.
