Corporate Services Supervisor
We’re looking for a motivated
Corporate Services Supervisor
to our team. This role is responsible not only for supervising day-to‑day corporate services operations, but also for leading the development, maintenance, and execution of company‑wide corporate policies and procedures related to facilities, fixed assets, security, corporate services, and operational support. This position plays a critical role in strengthening operational governance, ensuring policy compliance, and reinforcing management discipline across the organization as AOI continues to grow. Corporate Policy Development & Governance
Lead the development, review, and ongoing maintenance of corporate policies and standard operating procedures (SOPs) related to facilities and workplace operations, fixed asset management, security and access control, corporate services and operational support, and emergency response and business continuity (as applicable). Coordinate with Finance, Human Resources, Information Technology, Environmental Health & Safety (EHS), Legal, and Facilities to ensure policies are aligned, practical, and compliant with company standards. Support policy approval workflows and manage version control, documentation, and publication of corporate policies. Communicate policy updates clearly to internal stakeholders and support implementation across departments. Monitor and follow up on policy execution and compliance, identifying gaps, risks, or inconsistencies. Escalate non‑compliance issues and recommend corrective actions to management. Support continuous improvement of policies based on operational feedback and business growth. Corporate Services & Operations
Supervise daily corporate services and administrative operations to ensure consistent service delivery. Coordinate operations coordinators, specialists, and administrative staff as assigned. Serve as a primary point of contact for internal service requests and operational issues. Coordinate closely with Facilities, IT, Security, EHS, Finance, and other teams to resolve operational matters. Fixed Asset Management – Oversight
Support the administration and enforcement of the company’s fixed asset management policies. Ensure asset receiving, tagging, movement, and disposal processes follow approved procedures. Coordinate periodic physical inventory and reconciliation activities with Finance. Maintain proper documentation and audit trails related to asset controls. Corporate Insurance Administration
Support operational administration of corporate insurance programs, including general liability, property, vehicle, and project‑related insurance. Ensure vendor insurance compliance through Certificate of Insurance (COI) tracking. Coordinate incident documentation and claims support activities. Budget Planning & Control
Support preparation and tracking of OPEX and CAPEX budgets related to corporate services and facilities. Monitor spending against approved budgets and support cost control efforts. Coordinate with Finance on reporting and documentation requirements. Additional Responsibilities
Support onboarding and offboarding processes from an operational and services perspective. Coordinate vendor scheduling, documentation, and basic performance tracking. Maintain organized records, reports, and documentation. Support special projects and operational initiatives as assigned by the Director. Supervisory Responsibilities
Supervise a team of up to 4‑6. Qualifications
Bachelor’s degree in Business Administration, Operations Management, Finance, Accounting, or a related field Minimum 4–6 years of experience in corporate services, operations, administrative management, or a related function Proficiency in Microsoft Excel (budget tracking, reporting), Word, PowerPoint, and Outlook Strong organizational and analytical skills Ability to manage operational details while supporting governance and controls Budget tracking and cost control awareness Attention to detail with strong documentation discipline Cross‑functional coordination and communication skills Ability to supervise staff and manage priorities in a fast‑paced environment Service‑oriented mindset with a strong sense of ownership Fluency in both English and Mandarin Chinese (written and verbal) is highly preferred Experience with ERP or financial systems (SAP, Oracle, NetSuite, or similar) Familiarity with asset tracking systems or document management platforms Project Management, Operations, or Asset Management‑related certification is a plus Location
