Director of Operations at One Tech Engineering One Tech is seeking a detail-oriented Payroll & Accounting Coordinator to oversee payroll for field contractors and manage accounts receivable functions. This role plays a critical part in ensuring accurate payroll processing, timely invoicing, and clean financial records. The ideal candidate is highly organized, comfortable working independently, and experienced with QuickBooks in a fast-paced, deadline-driven environment.

Key Responsibilities

Process bi‑weekly payroll for field contractors across multiple projects

Ensure accurate timecard review, approvals, and compliance with client billing terms

Maintain contractor pay rates, deductions, reimbursements, and adjustments

Coordinate payroll-related questions with contractors and internal team members

Ensure compliance with federal, state, and client‑specific payroll requirements

Generate and distribute client invoices in accordance with contract terms

Track payments, apply receipts, and reconcile accounts

Follow up on outstanding invoices and support collections as needed

Maintain accurate AR aging reports

Manage day‑to‑day accounting functions within QuickBooks

Reconcile bank and credit card accounts

Enter and maintain accurate financial records

Assist with month‑end close and financial reporting

Support audits and provide documentation when needed

Maintain organized digital records and documentation

Collaborate with recruiting and operations teams to ensure payroll accuracy

Identify process improvements to increase efficiency and accuracy

Assist leadership with ad‑hoc financial reporting and analysis

Qualifications

3‑5+ years of experience in payroll, accounting, or bookkeeping

Strong working knowledge of QuickBooks (Online or Desktop)

Experience processing payroll for hourly workers or contractors

Solid understanding of accounts receivable processes

High attention to detail and accuracy

Strong organizational and time‑management skills

Preferred

Experience in staffing, recruiting, or construction/field‑based industries

Familiarity with multi‑state payroll

Experience working in a small or growing company environment
