Transaction Coordinator Office Administrator

Responsibilities
End-to-End Transaction Management:
Manage all wholesale, flip, rental purchase, and resale transactions from contract to close, coordinating with title, escrow, lenders, buyers, sellers, and agents to ensure clean, on‑time closings.
Deal Tracking, CRM & Pipeline Oversight:
Maintain accurate deal records in CRM, move deals through stages, enforce data hygiene, track deadlines, and flag risks or bottlenecks before they become problems.
Construction & Rehab Coordination:
Coordinate utilities, access, inspections, invoices, and documentation for flip and rental rehabs while providing ownership with clear project visibility.
Dispositions & Resale Support:
Support wholesale dispositions and retail resales by managing contracts, buyer coordination, EMDs, walkthroughs, listings paperwork, and closing documentation.
Rental Property Management Administration:
Oversee day‑to‑day administrative management of rental properties, including leasing, rent tracking, maintenance coordination, turnovers, HOA compliance, and monthly performance reporting.
Office Administration & Vendor Coordination:
Serve as the central administrative hub for the company by managing inboxes, vendors, documentation, calendars, notices, and internal communications.
Accounting & Financial Admin Support:
Track deal‑level and property‑level expenses, upload invoices and receipts, reconcile transactions, and support accounting systems with clean, organized data.
Operations Systems & Process Improvement:
Document workflows, maintain SOPs, support CRM and automation initiatives, and continuously improve systems to increase efficiency and scalability.
Compliance, Documentation, & File Management:
Ensure all deal, rental, and company files are complete, organized, compliant, and audit‑ready at all times.
Ownership & Executive Support:
Act as a right‑hand operator to ownership by handling execution, problem‑solving, special projects, and removing day‑to‑day operational burdens from leadership.
Qualifications
Proficiency in Transaction Coordination, Transaction Management, and familiarity with escrow processes.
Strong communication and customer service skills to effectively liaise with clients, agents, and team members.
Highly organized, detail‑oriented, and capable of managing multiple tasks and timelines efficiently.
Experience in real estate or similar industries is preferred.
Proficiency in relevant software tools and systems used in real estate and office management.
Ability to work in a team‑oriented, fast‑paced, and dynamic environment.
Compensation $60,000 per year
