About the Role Oneil Building and Supply is looking for a sharp, personable, and detail-oriented Office Administrator/Sales Associate to join our team. This is a high-impact role where you will be the voice of our company, a key player in our sales process, and the "engine" that keeps our billing and supply chain moving.
The ideal candidate can pivot from a friendly sales conversation on the phone to the high-precision task of invoicing and order management without missing a beat.
Key Responsibilities
Customer Relations & Inbound Sales : Act as the first point of contact. Handle inbound calls, qualify leads, and provide a professional, helpful experience for potential clients.
Invoicing & Billing : Lead the invoicing process, generate accurate invoices, track payments, and keep accounts receivable updated.
Material Order Management : Navigate vendor platforms to place and track material supply orders, ensuring everything is ordered correctly and scheduled for delivery.
Administrative Support : General office management, including filing, data entry, and maintaining organized digital and physical records.
Sales Assistance : Assist the sales team by preparing quotes and following up with customers to ensure their project needs are met.
What We’re Looking For
QuickBooks Proficiency : Familiarity with QuickBooks is a major plus. Comfortable navigating the software to create invoices and manage basic bookkeeping tasks.
The "People" Factor : Naturally personable and able to build rapport quickly; make customers feel like they are in good hands.
Extreme Attention to Detail : Accurate in building supplies; catch errors in supply orders or billing statements before they become issues.
Inside Sales Experience : Background in inside or retail sales preferred; comfortable helping a customer find the right product and close the deal.
Problem Solver : Spot delays or discrepancies and proactively find solutions.
Qualifications
2+ years of experience in an office administrative, billing, or customer‑facing role.
Proven experience with QuickBooks or similar accounting/ERP software.
High school diploma required; Associate’s degree in Business or Accounting is a plus.
Previous experience in construction or building materials is a significant advantage.
