Responsibilities
Oversee and coordinate the efforts of all staff.
Recruit, develop, and train a strong team to ensure proper support for service providers.
Assist the Clinic Manager in strategic planning, budget projections, productivity analysis, and other business-related initiatives.
Plan, schedule, assign, and monitor the work activities of assigned personnel.
Ensure appropriate daily staffing and coordinate schedule changes.
Act as a resource for the MA team regarding clinical practice, policies, and procedures.
Work with the MA team to monitor the lab for Clinical Lab Improvement Amendments and OSHA compliances; ensure compliance with safety measures.
Promote a positive, fair, and open environment within the department and the practice.
Monitor the efficiency and quality of department operations.
Address process improvements or re‑training as identified.
Assist in clinic when needed and cover all MA roles.
Control costs of supplies, inventory, equipment, services, repairs, and staff compensation.
Monitor productivity, quality, and timeliness of services.
Address all compliance and regulatory issues; assure department compliance in all areas.
Perform patient service functions as necessary, including problem resolution and serving as a resource for internal and external patients.
Manage and perform patient consultations both in person and by phone.
Implement all policies and procedures within established time frames.
Take appropriate corrective action with personnel as required.
Address patient concerns, follow up on issues, complaints, and inquiries, and research to ensure satisfactory resolution.
Knowledge of and compliance with HIPAA standards.
Knowledge of and compliance with OSHA Standard Precautions.
Adherence to the healthcare compliance policy.
Perform other related duties as required or assigned.
Participate in off‑site events as needed.
Attend required meetings as scheduled.
Other duties as assigned by management.
Qualifications
High school diploma required; degree in Medical Office Administration, Medical Assisting, or related field preferred.
At least 2 years of experience as a Medical Assistant or Front Office Associate in a private practice required.
Previous experience as a team lead or supervisor strongly preferred.
