Description The Leave Management Specialist is responsible for the day-to-day administration and coordination of employee leave of absence programs across Astrana’s corporate, IPA, MSO, clinic, and hospital aligned operations. This role manages leave cases from intake through return to work, ensuring accurate documentation, timely communication, and compliance with federal, state, and company policies.
The Leave Management Specialist works in close partnership with the Senior Workers’ Compensation & Leaves Management Specialist, who provides program oversight and escalation support. This role serves as the primary operational point of contact for employees and managers regarding leave processes and requirements.
Key Responsibilities
Administer employee leaves of absence including FMLA, CFRA, PDL, ADA related leaves, workers’ compensation related leave, military leave, and personal leaves.
Manage leave cases from intake through return to work, including eligibility review, certification tracking, extensions, intermittent leave schedules, and return to work coordination.
Maintain accurate, timely, and audit ready documentation of leave activity within HRIS and leave management systems.
Communicate leave status, requirements, expectations, and timelines clearly and consistently to employees and managers.
Partner with Payroll to ensure accurate pay status, benefit deductions, and leave coding.
Coordinate with Workers’ Compensation, HRBPs, managers, and third party administrators to support effective leave administration.
Support the interactive process for ADA related accommodations under the guidance of the Senior Workers’ Compensation & Leaves Management Specialist.
Identify and elevate complex, sensitive, or high risk leave cases to the Senior Workers’ Compensation & Leaves Management Specialist.
Ensure day-to-day leave administration complies with federal, state, and California-specific leave laws and internal policies.
Support audits, reporting requests, and data validation related to leave programs.
Assist in the development and maintenance of standard operating procedures, templates, and employee and manager guidance materials.
Participate in continuous process improvement efforts to enhance leave tracking, communication, and operational efficiency.
Skills, Knowledge and Expertise
Working knowledge of FMLA, CFRA, PDL, ADA, and California leave requirements.
Familiarity with workers’ compensation related leave coordination and return-to-work processes.
Strong attention to detail and documentation accuracy.
Ability to manage multiple leave cases concurrently in a deadline-driven environment.
Proficiency with HRIS, leave management platforms, and Microsoft Excel and Word.
Strong communication skills with the ability to explain complex leave requirements clearly and professionally.
Education
Associate’s degree in human resources, business administration, healthcare administration, or a related field preferred.
Bachelor’s degree preferred but not required.
A combination of relevant education and progressive experience will be considered in lieu of a degree.
2–5 years of experience administering employee leaves of absence, preferably in California.
Experience in healthcare, IPA, MSO, clinic, or hospital environments strongly preferred.
Certified Leave Management Specialist (CLMS) preferred.
SHRM-CP or PHR a plus.
