Responsibilities
Service Requests – Manage the work order assignment and completion process to meet the SLA of 24‑hour emergency and 72‑hour routine service.
Oversee the use of Yardi for the work order process, including assignments, notes, and completion.
Conduct quality assurance on completed work orders and follow up on negative survey feedback. Handle escalations from resident feedback to ensure 100% follow‑up when a work order is incomplete or insufficiently completed.
Punch‑Outs – Coordinate the turnkey process for vacant units using preferred vendors and ensure timely completion within the prescribed turnaround time. Use the Make Ready Dashboard in Yardi to manage the turnkey process. Ensure that a Market Ready Punch‑Out List is filled out for each unit, given to the Community Manager, and that all corresponding work orders are closed out with punch. Inspect the unit after completion of the punch and certify move‑in ready status; sign off on the tent card. Schedule turnkey services including painters, cleaners, flooring, etc. Perform pre‑inspection walk with the Assistant Manager 45 days prior to the scheduled move‑out date.
Curb Appeal – Keep the property free of trash, maintain dumpsters and compactor areas, water flowers and plants, and coordinate with landscaping vendors for routine and seasonal services.
Preventative Maintenance – Perform preventive and routine maintenance tasks following the maintenance plan and inspection schedule. Conduct periodic unit inspections using mobile devices. Maintain shop cleanliness and organization, manage inventory per the standardization guide, and use approved vendors for maintenance purchasing. Work with the Community Manager on maintenance budget categories to control expenditures and adhere to purchase order policy.
Manage Service Personnel – Recruit, train, and develop associates; motivate through constructive feedback, positive role‑modeling, and recognition. Schedule work for service technicians, punch techs, groundskeepers/porters, and housekeepers. Conduct performance evaluations with the On‑Site Property Manager and recommend hires or terminations with the Community Manager. Administer disciplinary action with the Community Manager. Coordinate “Emergency On‑Call” rotation and provide back‑up support. Respond to all emergency calls within one hour, enter work orders in Yardi, and ensure 24‑hour availability during on‑call periods.
General Duties – Perform hands‑on service requests and punch‑outs; assist with legal evictions under county marshal supervision; help move residents’ belongings during evictions; undertake occasional duties assigned by the Regional Manager, Asset Preservation, or Community Manager; provide additional services during inspections.
Inspections – Lead all REAC, Lender, State, and Authority inspections, ensuring property compliance and coordinating vendors and schedules. Communicate with Regional Management, Asset Preservation, and the Community Manager about inspection preparedness.
Internal Policies – Follow all company policies, including Life/Safety, Mold and Mildew, Uniforms, Bedbugs, and the handheld telephone policy (ensure the phone is charged and operational daily).
Qualifications
Previous work experience – Minimum three years in apartment maintenance. Supervision experience in a related field if supervising personnel.
Customer service experience – Ability to deal with customers and the general public.
Education/Training – Must be certified Universal or Type I and II for refrigerant recovery. Preferred trade school courses in HVAC, electricity, plumbing, etc. High School Diploma or GED.
Writing and computer skills – Good writing skills for filling out work orders and basic computer skills (email, smartphones, web browsing, Excel, and Word documents).
Physical/Health/Schedule – General good health, ability to climb ladders, enter attics, move appliances, and perform normal maintenance tasks. Personal grooming, dress, and appearance in line with maintenance professional expectations. Flexibility for hours outside published office hours.
Testing/Certification – Must pass the IPM Maintenance Test with a minimum score of 70%. HVAC certification required. EPA certification preferred. Valid state‑issued Driver’s License.
Continuing Education – Successful completion of all in‑house training programs related to the service level as defined in the IPM Management Service Policies and Procedures manual.
