Specific Duties and Responsibilities

Service Requests: Manage the work order assignment and completion process to the SLA of 24-hour emergency and 72 on routine.

Oversee the use of Yardi for the work order process inclusive of assignments, notes, and completion on work orders.

Conduct quality assurance on completed work orders and follow up on negative feedback of survey results. Handles escalation from resident feedback on 100% follow up when work order is insufficiently completed.

Punch-Outs: Coordinate the turnkey process for vacant units using preferred vendors and ensure timely completion within the prescribed turn time established in the maintenance guide.

Utilize the Make Ready Dashboard in Yardi to manage turnkey process.

Ensure that a Market Ready Punch-Out List is filled out for each unit punched and given to the Community Manager. Ensure all corresponding work orders are closed out with punch. Inspect the unit after completion of the punch and certify move in ready status and sign off on tent card.

Schedule turnkey services including painters, cleaners, flooring, etc.

Perform pre-inspection walk with Assistant Manager 45 days prior to scheduled move-out date.

Curb Appeal: Ensure property is free of trash, and dumpsters/compactor areas are free of visible trash in the community.

Ensure flowers and plants are watered.

Coordinate with landscaping vendor for routine and seasonal services.

Preventative Maintenance: Perform preventive and routine maintenance tasks following maintenance plan and inspection schedule for community. Adhere to program schedule.

Conduct periodic unit inspections using mobile devices.

Maintenance Shop Standards: Keep shop clean and organized per policy; manage inventory per standard guide; use approved vendors; manage purchase orders and budget; adhere to purchase order policy.

Manage Service Personnel: Recruit, train, and develop associates; motivate through feedback and recognition; schedule technicians, punch techs, groundskeepers/porters, and housekeepers; conduct performance evaluations; recommend hires and terminations; administer disciplinary action; coordinate emergency on-call rotation; provide backup support.

Emergency On-Call: Respond to all emergency calls within one hour; enter work order in Yardi; remain 24-hour available during on-call period.

General Duties: Hands‑on service requests, punch-outs, etc.; may be requested to assist at other properties; participate in legal evictions; help move residents' furniture; occasional duties assigned by Regional Manager or Community Manager; provide additional services during inspections.

Inspections: Take lead on REAC, lender, state, and authority inspections; ensure compliance; coordinate vendors and schedules; communicate with regional management and asset preservation on inspection preparedness.

Internal Policies: Follow company policies including life/safety, mold and mildew, uniforms, bedbugs; adhere to handheld telephone policy; keep phone charged and operational daily.

Experience / Qualifications

Previous Work Experience: Prefer a minimum of three years in apartment maintenance. Supervision experience if supervising personnel. Experience with customers or the public.

Education / Training: Must be certified Universal or Type I & II for refrigerant recovery. Trade school courses in HVAC, electricity, plumbing preferred. High School Diploma or GED.

Writing skills: Good writing skills required for filling out work orders.

Computer skills: Basic computer skills including email, smart phones, web browsing, excel, and word documents.

Physical / Health / Schedule: General good health; ability to climb ladders, enter attics, move appliances, perform normal maintenance activities; personal grooming, dress, appearances in line with maintenance professional norms; able to assist with flex hours.

Testing / Certification: Pass IPM Maintenance Test (min 70%); HVAC certification required; EPA certification preferred; valid state issued Driver’s License.

Continuing Education: Successful completion of all in-house training programs related to IPM Management Service Policies and Procedures manual.
