Patient Care Services Lead

to join their team of professionals in the Patient Care Services Department. The Senior Administrative Coordinator will be responsible for managing patient care coordinators and patient access representatives, interfacing with providers, faculty, students, patients, administration, and more. The ideal candidate will have experience in patient relations, clinical finance, and excellent customer/patient service. Experience with axiUm is a plus.

Position Summary To provide and coordinate all tasks associated with patient services including but not limited to patient scheduling (student assignments) through completion of comprehensive treatment plan; serves as the link between patients and the clinic.

Key Accountabilities

Assist with the completion of the patient scheduling process to ensure optimal efficiency in clinic operations and resources while maintaining the institution's standards of customer service and quality patient care. Responsible for monitoring and expediting clinic flow.

Assist the student provider with management of patient compliance including executing correspondence to terminate the patient for non‑compliance of keeping scheduled appointments. Will ensure quality patient care in relation to the patients prescribed diagnosis, treatment, and other directives from health care providers and/or administrators.

Provide patients with pertinent information regarding their schedule and the preparations needed for ancillary appointments.

Apply Health Information Management (HIM) skills associated with an electronic patient record (EPR) and picture archive computer system (PACS) for revenue cycle management and chart audit purposes.

Support the process to resolve patient relations issues associated with student providers which may include assisting with patient of record emergency triage and coordination of emergency treatment plus clinical treatment.

Responsible for the security and confidentiality of patient information at all times.

Advise patients/family members of available services and use appropriate customer service skills when interacting with co‑workers, patients, patient family members, and internal/external customers.

May conduct clinical orientations throughout the year.

Responsible for the coverage for the patient services telephone line and walk‑in patients on a rotational schedule.

May lead the activities of support staff within a small unit/division/department. Provide input in Human Resource activities for the direct reports to include recruiting and selection, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.

Certification & Skills

Knowledge of procedures and medical terminology appropriate for assignment.

Logical and mathematical aptitude.

Advanced knowledge of patient privacy regulations such as HIPAA, the Health Information Technology for Economic and Clinical Health Act (HITECH) and student privacy regulations contained in Family Educational Rights and Privacy Act (FERPA).

Strong communication skills both written and verbal.

Good interpersonal skills.

Minimum Education High school diploma or equivalent.

Minimum Experience Five years of related experience, with at least two years of healthcare and administrative support.

Physical Requirements Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.

Security‑Sensitive Position

Position pursuant to Texas Education Code 51.215 and Texas Government Code 411.094.

Requires research, work on, or access to critical infrastructure as defined in Texas Business and Commerce Code 117.001(2).

Must maintain security or integrity of the infrastructure. Routine reviews of criminal history or connections to foreign adversaries required.

Relevant federal regulations include 15 C.F.R. and Texas statutes 791.4.

Residency Requirement Employees must permanently reside and work in the State of Texas.
