Phase Engineering is seeking a
Project Coordinator Specialist . This role is essential to maintaining the accuracy, organization, and integrity of our project-related documentation. The ideal candidate will be highly detail-oriented and experienced in real estate or environmental due diligence. You will work closely with clients, contractors, attorneys, architects, and internal teams to ensure documentation is accurate, timely, and meets project requirements. This position requires excellent communication skills and an analytical mindset to manage documentation workflows across various projects.
Key Responsibilities
Significant work with the project teams and in the administration duties on a daily basis as well as communicating with clients to obtain necessary questionnaires and project specific documentation.
Review, interpret, and manage documents including sales contracts, leases, title commitments, land surveys, plats, and site plans.
Assist with title and land records due diligence; identify and elevate discrepancies.
Maintain organized project documentation systems for current and historical records.
Coordinate with stakeholders to collect, review, and finalize necessary project documentation.
Prepare summaries and reports regarding project progress and documentation status.
Ensure compliance with real estate and environmental regulations and internal procedures.
Review contracts.
Maintain and update document databases; proficiency in Microsoft Access or other document management systems is a plus.
Preferred Qualifications and Skills
1-3 years of professional experience in real estate development, land/title review, property management, environmental, or oil & gas sectors.
Strong knowledge of real estate documents including contracts, leases, surveys, title commitments, and construction drawings.
Highly proficient in Microsoft Office Suite (especially Word, Excel, Outlook); database experience a plus.
Excellent verbal and written communication skills; ability to interact effectively with diverse stakeholders.
Meticulous attention to detail and high standards for accuracy.
Solid organizational and time management skills; ability to manage multiple priorities.
Basic financial and invoice tracking capabilities.
Working knowledge of legal issues related to real estate development and land transactions.
Strong problem‑solving orientation with a customer service mindset.
Experience with social media is not required but highly desirable.
