Job Title:
Project Coordinator
Department:
Marketing
The project coordinator is responsible for assisting members of the marketing and business development team with various projects, internal and external communications, and digital and technology platforms to support existing client relationships and new client opportunities. Provides administrative support to leaders during meetings and in all areas of marketing and client service.
Responsibilities
Assists with the creation and implementation of marketing projects.
Supports leaders by organizing schedules, resources, and communication, ensuring projects run smoothly from start to finish.
Acts as a liaison between teams, takes meeting minutes, organizes timelines, and provides status update reports.
Maintains project plans and serves as the super‑user for the project management system.
Assists with updating the firm’s social media profiles (LinkedIn, Facebook, etc.), website content and the production of marketing materials including brochures, newsletters, and presentations.
Coordinates and supports the planning of events, webinars, and seminars.
Assists with hosting internal and external events.
Handles a variety of administrative tasks such as scheduling meetings and preparing agendas.
Supports the marketing team with various ad‑hoc tasks as needed.
Performs all other duties as assigned.
Job Requirements
Minimum 2 years of experience working as an administrative assistant, a project coordinator or in a similar role.
Experience in marketing is not required.
Excellent administrative and customer service skills.
Strong communication (verbal & written), organization and problem‑solving skills.
Must have the ability to prioritize and multi‑task.
Prior experience with MS Office programs.
High level of accuracy and attention to detail.
Ability to operate computers, photocopiers, scanners, and fax machines.
Preferred
Experience with CRM and project management systems.
Physical Requirements
Ability to lift and carry 30 pounds.
Frequent standing and walking.
Sitting for up to four hours at a time.
Bending and stooping as needed.
Schedule
38 hours per week
Mon‑Thurs (8 am – 5 pm)
On‑site 5 days per week during the 90‑day introductory period.
This role may be eligible for a hybrid schedule after the introductory period (3 days on‑site).
