Position Overview The Assistant Controller will be responsible for overseeing and managing the financial activities of CUCS, ensuring compliance with accounting standards, and providing accurate financial reporting. This position will play a key role in supporting the organization’s overall financial health and sustainability. The Assistant Controller will work closely with the Controller monitor to ensure effective and efficient accounting operations.

Section 1 – Essential Functions Financial Reporting

Prepare and review monthly, quarterly, and annual financial statements for CUCS and related entities in coordination with the Controller.

Ensure financial reporting is accurate, timely, and compliant with GAAP and organizational policies.

Lead components of the monthly, quarterly, and year‑end close process, including review of journal entries, reconciliations, and supporting schedules prior to submission to Finance leadership.

Prepare and review internal financial statements, variance analyses, and management reports.

Analyze financial data to identify trends, risks, and opportunities for operational or financial improvement.

Audit, Compliance, and Internal Controls

Support the Controller in coordinating the annual audit, including preparation of schedules, documentation, and responses to auditor inquiries.

Assist with implementation and monitoring of audit recommendations and internal control improvements.

Maintain and document accounting policies, procedures, and internal controls to ensure consistency and compliance.

Identify and support process improvements and efficiencies across accounting operations.

Support administration, optimization, and testing of accounting systems, upgrades, and integrations.

General Ledger and Reconciliations

Oversee the general ledger to ensure accurate and timely recording of transactions.

Review and approve monthly account reconciliations, bank reconciliations, and journal entries.

Ensure timely and accurate completion of monthly, quarterly, and year‑end close activities.

Review expense allocations, reclassifications, intercompany transactions, fixed assets, and shared cost allocations.

Coordinate audit support related to general ledger activity and reconciliations.

Accounts Payable Oversight

Oversee the Accounts Payable function to ensure timely, accurate invoice processing and payment execution.

Ensure compliance with internal controls related to payment authorization, segregation of duties, fraud prevention, and regulatory requirements.

Oversee vendor onboarding and maintenance, including W-9 collection, contract documentation, payment terms, and 1099 compliance.

Monitor vendor aging, resolve discrepancies, and ensure payments are issued within established terms.

Review accounts payable accruals and support accurate year‑end reporting.

Accounts Receivable Oversight

Supervise Accounts Receivable functions to ensure timely billing, collections, and reconciliation of receivables.

Review revenue recognition, adjustments, allowances, and year‑end receivable entries for accuracy and compliance.

Partner with program and finance staff to resolve billing discrepancies and delayed payments.

Review and reconcile intercompany receivables and eliminations, as applicable.

Cash Management

Monitor cash activity and liquidity to support short‑ and long‑term financial obligations.

Review deposits, disbursements, and transfers for accuracy and authorization.

Support cash forecasting and coordination with Finance leadership.

Assist with banking relationships and account administration as needed.

Team Leadership and Supervision

Provide day‑to‑day supervision, prioritization, and workload management for accounting staff across AP, AR, and general accounting functions.

Review staff work products to ensure accuracy, completeness, and adherence to accounting standards.

Train, mentor, and evaluate staff performance, providing ongoing coaching and development.

Financial Coordination and Alignment

Collaborate closely with Budget, Contracts, and Program Finance teams to ensure financial activity aligns with approved budgets, funding agreements, and contract terms.

Partner with contract billing and program staff to support accurate revenue recognition, expense coding, and allocation of costs in accordance with funder and contractual requirements.

Review financial data and reports to identify misalignments between actuals, budgets, and contract assumptions, and elevate issues as needed.

Support coordination between accounting, budgeting, and billing functions to ensure consistent financial reporting and compliance across teams.

Assist in resolving discrepancies related to funding, billing, or budget variances in collaboration with Finance leadership.

Section 2 – Expectations

Maintain a high standard of professional conduct as a supervisor by modeling respectful, collaborative communication and promoting a positive, accountable workplace culture. Exercise sound judgment in decision‑making and adapt supervisory strategies in response to changing priorities or operational demands.

Provide clear leadership within the Finance Department to ensure timely, accurate, and policy‑compliant financial operations. Serve as a resource to staff on procedural matters, internal controls, and best practices related to accounts payable and receivable functions.

Promote staff development by offering regular training, guidance, and support on job duties and compliance standards; identify and address performance gaps in accordance with HR protocols and supervisory best practices.

Engage in cross‑departmental collaboration and contribute to department‑wide initiatives by supporting internal improvement efforts, meeting participation, and timely completion of supervisory deliverables.

Proactively monitor staff performance and workflow, escalating issues appropriately and implementing interventions to support resolution and continuity of operations.

Adhere to agency time and attendance expectations as a supervisor by modeling punctuality and ensuring staff compliance with scheduling, break coverage, and absence notification protocols.

Section 3 – Requirements A. Education & Experience

Bachelor’s degree in accounting, Finance, or a related field (Master’s degree preferred).

At least 5 years of experience in accounting, with a minimum of 2 years in a supervisory or managerial role.

CPA or equivalent certification preferred.

Experience working in audit and nonprofit organization is highly preferred.

B. Knowledge, Skills, and Abilities

Strong knowledge of accounting principles (GAAP), accounts payable and financial reporting.

Experience with accounting software such as Blackbaud Financial Edge and proficiency in Microsoft Excel is highly preferred.

Strong organizational skills with the ability to prioritize and manage multiple tasks.

Excellent communication skills, both written and verbal.

Ability to work independently and as part of a team in a fast‑paced, dynamic environment.

Knowledge of nonprofit accounting standards, particularly regarding grants and government funding, is highly desirable.
