The Litigation Case Clerk provides essential clerical and administrative support to secretaries, paralegals, and attorneys. This position plays a key role in litigation case preparation through document management, discovery assistance, and file organization.

Responsibilities include:

Assist secretaries, paralegals, and attorneys with document preparation and general administrative support.

Manage the restrictive covenant enforcement docket, including file review, preparation of violation notices and pleadings, records management, client and resident communications, and coordination with attorneys on matters progressing toward litigation.

Maintain attorney files by indexing documents, printing and routing selected emails, and ensuring complete and accurate file organization.

Draft enclosure letters for recording or filing original documents; track and maintain certified mail receipts.

Perform discovery-related tasks such as drafting shell pleadings, preparing exhibits, compiling and Bates-stamping documents, and copying discovery requests and responses.

Review and organize documents for depositions, hearings, and trials.

Prepare files for closing and coordinate transfer of closed files to off-site storage.

Manage incoming e-filings by saving documents to NetDocs, calendaring related deadlines, and distributing filings to the appropriate legal team members.

Handle e-filing and e-service of pleadings and discovery.

Prepare electronic file indexes with document hyperlinks.

Retrieve dockets, pleadings, property records, and other public filings as needed.

Assist with special projects and perform other duties as assigned.

Qualifications Knowledge, Skills, and Abilities

Strong organizational skills with the ability to prioritize and complete tasks on time.

Ability to assemble and maintain files using alphabetical and numerical filing systems.

Ability to read, write, and communicate at a professional level typically acquired through a high school diploma or equivalent.

Ability to work independently and collaboratively with attorneys, paralegals, secretaries, and staff.

Proficiency with office equipment, including computers, copiers, scanners, fax machines, and phones.

Strong interpersonal and communication skills, including clear and courteous communication by phone and in person.

Ability to follow instructions, manage deadlines, and maintain accuracy and attention to detail.

Ability to lift and move files or boxes up to 20 pounds.

Regular and reliable attendance, including willingness to work overtime when needed.
