Position Details

Monday - Friday

8:00 AM - 4:30 PM

$20.00 - $22.00 per hour, depending on experience

Position Purpose The Administrative Assistant provides essential support to the President and the Human Resources department by performing a variety of tasks. This role ensures smooth day-to-day office operations, maintains accurate records, and assists with compliance and employee engagement initiatives. The position will support two operating companies, and the admin will split their time between the two. They must be flexible to work at either location as needed (9020 King Palm Drive in Tampa and 13040 Bay Industrial Drive in Gibsonton).

Position Responsibilities

Serve as the OpCo's Associate Engagement Captain the primary person responsible for planning and coordinating holidays, events, and celebrations.

Oversee the Employee of the Month Program.

Assist with scheduling new hire orientation and scanning documents for I-9s.

Respond to management and associate inquiries regarding policies and procedures.

Serve a leading role on the Associate Engagement Committee.

Assist with weekly orientation by translating English to Spanish as needed.

Track employee birthdays and anniversaries, capturing photos and posting to LinkedIn and AppSpace.

Prepare and organize documents, reports, and correspondence.

Coordinate employee training sessions and maintain training records.

Provide general administrative support to the President and HR team, including filing, scanning, and scheduling meetings.

Ensure confidentiality and security of company information at all times.

The ideal candidate should possess:

Exceptionally organized

with the ability to manage multiple calendars, files, and tasks across two locations.

Reliable time-management skills , able to juggle recurring tasks (like employee recognition programs) with daily administrative needs.

Strong customer-service mindset , able to respond to employee and management inquiries professionally and accurately.

Approachable and personable , making them effective in employee engagement and event coordination roles.

Creative and enthusiastic , especially in planning events, celebrations, and employee recognition programs.

Qualifications

6 + months of admin experience

Bilingual (English/Spanish) with the ability to translate in real time during orientation and other meetings.

Basic to intermediate Excel and Outlook skills

Ability to effectively communicate both verbally and using Outlook email, Microsoft Teams, and the phone

Strong organizational skills with attention to detail

Effective communication skills, both written and verbal.

Preferred qualifications

1 + years of admin experience

Proficient with Excel, Word & PowerPoint
